JOB SUMMARY

We are seeking a highly organized and detail-oriented Administrative Assistant to join our Due Diligence team within the Audit Services branch. This exciting role will be the primary point of contact for public inquiries across all regulatory streams, including cannabis retailers, cannabis representatives, gaming and Alberta’s new iGaming streams!

Reporting to the Senior Manager, Due Diligence, this position provides comprehensive administrative support to a team that plays a vital role in safeguarding the integrity of Alberta’s gaming and cannabis industries. The team conducts confidential due diligence investigations in alignment with the Gaming, Liquor and Cannabis Regulation (GLCR) and AGLC policies, ensuring fairness, accountability and public trust.

The successful candidate will contribute to the review and processing of licensing and registration applications across a broad range of stakeholders, including gaming suppliers, casino operators, cannabis licensees, iGaming registrants and related individuals.

Key Responsibilities

  • Manage the day-to-day operation of administrative functions, prioritizing incoming requests from internal and external sources, ensuring timely and accurate processing
  • Prepare and draft a variety of documents including letters, reports, memos and other materials of a confidential and sensitive nature
  • Open, maintain and manage a large volume of electronic files and attach supporting documentation
  • Receive, review and process due diligence disclosures, ensuring completeness and accuracy
  • Conduct indices checks (e.g., Equifax, CPIC, JOIN, Land Titles, Personal Property Registry) in compliance with established security protocols, and exercise judgment to forward relevant information to investigators
  • Liaise with internal stakeholders including Gaming Registrations, Cannabis Licensing, and Corporate Accounting
  • Manage all administrative financial accounting and reconciliation for the unit including the handling of fees/deposits, processing of payments for accounts (Strategis, Dow Jones Factiva, Equifax, BC Online) and processing p-card transactions
  • Conduct frequent reviews of administrative procedures, templates and forms to develop standardized administrative best practices
  • Involvement in AMANDA project teams regarding data stewardship

SKILLS & ABILITIES

  • Minimum of a High school diploma

  • 2+ years of office or administrative experience

  • Strong organizational and time-management skills with the ability to manage a high-volume workload

  • Demonstrated ability to work independently and make sound day-to-day administrative decisions

  • Exceptional attention to detail and accuracy, particularly when handling sensitive and confidential information

  • Experience conducting confidential searches using regulatory or investigative databases (e.g., Equifax, JOIN, CISA, Land Titles, Personal Property Registry) is an asset
