ABOUT US – WHY WE’RE HERE:

We are hiring Donations Processing Representatives (DPR) to join our Donor Services team. This role is a great fit if you are looking for a hands-on operational role that builds strong skills in customer service, data processing, and working within modern, system-based donation environments.

Our donation processing work has evolved significantly with most transactions now flow through electronic channels and system integrations, making accuracy, validation, and problem-solving just as important as processing speed.

JOB PURPOSE:

As a member of the Donor Services team, the Donations Processing Representative provides campaign gift, commitments, payment and designation processing services, while delivering a high level of customer service and supporting positive donor experience. This role supports year-round processing operations and campaign delivery.

WORK SCHEDULE/FLEXIBILITY:

This position is regular part-time, with seasonal fluctuations as follows:

  • Campaign season (approximately Sept- Mar): full-time hours (35 hours, 5 days per week) based on operational needs
  • Non-campaign season (approximately Apr– Aug): part-time hours (approximately 21 hours, 3 days per week) supporting ongoing processing and operational continuity.

This structure supports both predictable part-time work and flexibility during peak campaign periods.

** This position may be required to attend the office on any day and up to five days per week, based on operational needs.

DUTIES & RESPONSIBILITIES:

Key Responsibilities:

  • Provide high levels of internal and external customer service
  • Process donations and maintain donor records in Salesforce
  • Create and maintain constituent records and account updates
  • Create, receive, and process electronic imports/exports
  • Monitor processing errors and investigate and correct issues
  • Respond to written and verbal inquiries using established procedures
  • Receive physical and electronic donations
  • Adjust gifts, commitments, payments and designations with documentation
  • Support efficient processes and assist across the department as required

General:

  • Validate donation data against supporting documentation
  • Identify discrepancies early and escalate or resolve them through established procedures
  • May participate on Community Project Team(s)
  • Is a member of the Administrative Support team. May provide switchboard relief and perform other administrative duties
  • Performs other duties related to the qualifications and requirements of the job

QUALIFICATIONS & REQUIREMENTS:

  • High school diploma plus additional coursework or equivalent experience
  • Two (2) years of office experience in customer service, donations processing and/or an accounting environment
  • Experience with CRM systems (Salesforce preferred)
  • Strong attention to detail and ability to follow established procedures
  • Proficiency with Microsoft Office
  • Ability to exercise tact and discretion
  • Strong communication skills
  • Ability to adapt and learn new systems quickly

WORKING CONDITIONS:

  • Some hours outside of business hours to attend meetings and events
  • Organizational core business hours (Monday – Friday, 8:30-4:30)

This is a bargaining unit role with CUPE Local 1760. This position is at pay grade 26 which is $30.87 hourly.

Candidates must live within 80 KMs (commuting distance) from our office as this is an in-office position.
