Come join us! As a result of our internal movements at RVH, we are hiring permanent, Full-Time, Executive Assistant with our Nursing Administration Department.
Pay Grid: $35.14 - $42.71 /hour
The Executive Assistant –Administration provides administrative support primarily to the Integrated VP Regional Programs & CNE and the Integrated VP of Finance & CFO. Reporting to the Integrated VP of Regional Programs & CNE, the role ensures efficient daily operations, smooth communication, and effective coordination and support for multiple roles within the leadership team. The Executive Assistant is responsible for managing sensitive information with discretion, supporting strategic initiatives, special projects, and contributing to the efficient functioning of Regional, clinical, and corporate operations.
Duties will include but are not limited to:
Manages the VP’s schedule, priorities, appointments, and correspondence. Prepares briefing materials, reports, presentations, and confidential documents. Coordinates meetings, internally and externally, including logistics, agendas, and follow-up actions. Tracks and monitors strategic initiatives, deadlines, and priority items on behalf of the VPs. Acts as the key administrative liaison for all Regional Clinical Programs and some Corporate Programs. Facilitates communication to all departments of the hospital, as assigned. Provides support to VP’s and CEO who are on site with any required administrative tasks, as assigned. Manages electronic and paper filing systems, digital archives, and document workflows. Supports project coordination, performance reporting, and data organization. Ensures smooth office operations through proactive problem-solving and administrative oversight. Preparing and distributing agendas and pre-read materials in advance of meetings Supporting Committee meetings including logistics and coordination with chairs; recording, preparing, and circulating minutes with clear decisions and action items Contributes to continuous improvement of administrative processes and workflows. Maintains and updates contact lists, distribution groups, and organizational charts. Maintains and administers organizational contracts, including tracking key dates, coordinating renewals, and ensuring compliance with documentation and approval processes.
Qualifications:
Postsecondary diploma in Office Administration, Business Administration, or related field. Minimum 3–5 years of experience supporting senior leadership, ideally in healthcare or a comparable sector. Advanced proficiency in Microsoft 365 (Outlook, Word, Excel, PowerPoint, Teams, SharePoint). Strong written and verbal communication skills with exceptional attention to detail. Demonstrated ability to handle confidential information with maturity and discretion. Excellent organizational, multitasking, and time management abilities. Ability to work independently and collaboratively in a fast-paced environment.
Working Conditions
Standard office environment with regular interaction with leaders and stakeholders. Occasionally attend early morning, evening, or extended hours to support Board or committee meetings. Must balance multiple deadlines and priorities simultaneously. Access to a vehicle for travel throughout the region
