Job Title: Document Control SpecialistJob Description

The Document Control Specialist provides high-quality support to Product Configuration Management (PCM) customers and business partners by managing product documentation and configuration data throughout the product lifecycle. This role focuses on improving change management cycle times while maintaining a high level of accuracy and efficiency. The specialist drives PCM initiatives, supports clean-up and cost-reduction projects, and collaborates closely with senior document specialists and cross-functional teams. The role also contributes to process improvements by identifying problem areas and proposing solutions, while consistently modeling the organization’s core values.

Responsibilities

Create, enrich, maintain, and manage item master records in the Agile PLM system. Coordinate and execute project document releases to ensure accurate and timely documentation availability. Perform data analysis and reporting to support Product Configuration Management and related business functions. Create and manage Bills of Material (BOMs) to ensure accurate configuration of products. Support engineering change management by processing Engineering Change Orders (ECOs) and Engineering Change Notices (ECNs) in an engineering environment. Coordinate and support software releases as part of the overall product configuration process. Provide end-to-end support for new product programs by working directly with program team members to document and release all products as required. Support service, custom products, product marketing, program management, manufacturing, engineering, and other teams with the release and maintenance of sustaining and new products, as well as product changes. Assist Product Configuration Management with specific project activities, including clean-up projects, cost-reduction initiatives, regulatory-driven projects, and team coverage assignments. Collaborate with external suppliers and manufacturers as needed to ensure accurate and timely documentation and configuration data. Work closely with senior document specialists and internal cross-functional teams to align on processes, priorities, and best practices. Identify problem areas within document control and configuration management processes and work with the management team to implement process improvements. Demonstrate and promote core organizational values through day-to-day interactions and work practices.

Essential Skills

1–3 years of experience in a configuration management role working closely with engineering. Proven ability to create and process engineering change orders in an engineering environment. Experience working with basic Microsoft Excel functions for data entry, analysis, and reporting. Background using Agile PLM or a similar tool for item and BOM creation and maintenance. Hands-on experience with configuration management processes, including ECO and ECN handling. Familiarity with managing Bills of Material (BOMs) in a product development or manufacturing environment. Ability to manage multiple tasks and priorities while maintaining accuracy and efficiency in documentation. Strong attention to detail and commitment to data integrity in item master and configuration records. Effective communication skills for collaborating with engineering, manufacturing, program management, and other cross-functional teams. Comfort working in a structured, process-oriented environment focused on continuous improvement.

Additional Skills & Qualifications

Direct experience in a configuration management role dealing with electronic handheld products is an asset. Working knowledge of Oracle R12 is considered a strong bonus. Post-secondary education in a related technical or engineering discipline (such as graduates from programs at George Brown or Humber) is beneficial. Experience supporting new product introduction and end-to-end program documentation is an advantage. Exposure to product configuration management within an electronics or technology-focused organization is preferred. Demonstrated ability to contribute to process improvement and clean-up initiatives. Comfort working with cross-functional stakeholders, including external suppliers and manufacturers. Interest in working within an innovation-driven environment that values curiosity, collaboration, and continuous learning.

The role is based in an engineering-focused environment, supporting a Product Configuration Management team located in Mississauga. The position operates on a straight day shift schedule with a 37.5-hour work week, offering predictable daytime working hours. The physical workspace consists of a clean cubicle setup in a modern office setting.
