About the role
I'll be direct: this is not a job posting for someone who wants to be handed a checklist. This is a posting for the person who looks at a complex production operation and thinks, “I can make this run better — and I can prove it.”
Tulip Media is 12 years young. Six awards in the last three years. 178+ Client-Partners who trust us with their brand every single issue. A Success Board behind us and an entrepreneurial engine inside us. We are growing on purpose — and growth without great operations is just chaos with a nicer logo. That's where you come in.
Your mission: Own the workflow engine behind our custom publishing work so Client-Partners shine, the team moves with confidence, and growth never comes at the expense of quality.
Why This Role, Why Now We deliver on a promise we call the 3Es: every experience with Tulip Media should be Easy, Effective and Enjoyable. That promise doesn't live in a brochure — it lives in every brief, handoff, proof, approval and deadline. The Production Associate is the person who makes that promise real, every cycle, without drama.
This is a build role. You'll inherit good systems and make them great. You'll use AI and automation not as buzzwords, but as tools to remove friction, shorten cycle time and free the team to do their best creative work. And you'll do it fast — because our Client-Partners don't wait, and neither do we.
The Role At A Glance Full-time | Flexible, remote-first environment
Reports to President
Core collaboration hours 8:30 a.m. – 5:00 p.m. Eastern, Monday to Friday Occasional evening or weekend work when the work demands it
Your lane: This is a production workflow role — not marketing strategy, social media management or creative direction. You own the system that helps great work move.
What You'll Make Happen Own the flow. Run repeatable workflows for magazines and Client-Partner content programs — from intake and scheduling through proofing, approval, print, distribution and final delivery. Make work ready. Confirm briefs, copy, images, specs, approvals and owners are locked before production starts. Keep priority content one cycle ahead — always. Make handoffs obvious. Align Client-Partners, writers, designers, proofreaders, printers and mailing partners around what's needed, by whom, by when. No guesswork. No dropped balls. See around corners. Keep owners, status, capacity, dependencies and risk visible. Raise issues early and show up with options, not just problems. Protect the standard. Manage proofs, files, approvals, mailing data and release checks so an avoidable error never becomes a Client-Partner experience. Build a better machine. Use AI, automation, templates and disciplined data practices to remove friction, shorten cycle time — and measure the result.
Your scoreboard: the 3Es We believe in clear standards. Here's how we'll both know you're winning: Easy. Every active project has a visible owner, current status, next step, dependency and risk. Work enters production complete and approved. Client-Partners never chase answers. Effective. 98%+ of milestones hit without avoidable delay. 95%+ of deliverables pass final QA without a material error. Distribution and mailing lists reviewed every cycle. Enjoyable. Communication is proactive, approvals feel lighter, surprises are rare — and the team gets to focus on great work instead of preventable fire drills. Evidence of improvement. Workflow changes are documented, adopted and measured: time saved, errors prevented, rework avoided, Client-Partner experience improved.
What You've Already Proven Real experience owning or coordinating complex, multi-step workflows — publishing, agency, content, creative ops, project management or another deadline-driven world. A post-secondary degree or diploma, or an equivalent combination of education and proven practical experience. Specific examples of processes you improved — and the result: faster delivery, fewer errors, clearer visibility, less rework, happier clients. Strong judgment, organization and attention to detail. You catch issues before they move downstream. Clear, confident communication with clients, vendors and teammates — especially when timing or quality is on the line. Fluency with Excel, Word, shared calendars and project-tracking tools, plus genuine curiosity to learn better systems. Practical use of AI or automation to improve repeatable work — without outsourcing human judgment or accountability.
You'll Probably Love It Here If... You want room to build — not a list of tasks to inherit. You move with urgency, take ownership and treat obstacles as design problems. You like high standards without high drama. You value flexibility and know it works best when paired with trust, responsiveness and results. You want a team culture where people share information, back one another and want the best idea to win — no matter whose it is. You care deeply about making Client-Partners look and feel brilliant.
Why Tulip Media We have the track record of an established company and the energy of one still becoming. Twelve years in, six awards in three years, and growing with intent — supported by a Success Board, powered by a strong team, and committed to improving how custom publishing gets done.
Our flexible work environment gives people room to do their best work. Our entrepreneurial culture gives them permission to question, improve and lead. And our 3E promise keeps the standard clear: make every experience Easy, Effective and Enjoyable.
How We Hire Proof beats polish. Expect a structured process built around evidence of ownership, workflow thinking and values fit: A review of your relevant experience and one workflow result you can explain clearly A production scenario testing priorities, risk and stakeholder communication A practical workflow exercise using readiness checks, handoffs and quality controls Conversations about AI, systems improvement, growth mindset and Tulip Media's core values
Ready to build with us? Apply through this posting with your résumé. In your note, tell us about the messiest workflow you ever inherited, what you changed — and the proof that it worked. That story tells us more than any cover letter ever could.
Salary range: $55,000–$68,000 CAD annually. The final offer will reflect the candidate’s directly relevant experience, demonstrated ability to manage complex production workflows and evidence of delivering measurable results. Candidates will be considered within the full posted range.
