About the Role
Introhive is looking for a strategic-thinking Executive Assistant to support our senior leadership. We're looking for someone who is comfortable with a fast-paced environment, can play Tetris with multiple calendars and supports the team on a variety of projects as we continue to grow. The team is enthusiastic, supportive, and collaborative whilst being spread across multiple time zones. This role requires candidates to be located in the Greater Toronto Area (GTA).

What to Expect
We are looking for a professional, friendly and highly-motivated Executive Assistant to provide dedicated support to senior executives. The Executive Assistant must be creative and enjoy working within a customer-oriented, results-driven, fast-paced environment. The ideal individual will have the ability to exercise exceptional judgment in a variety of situations, have strong written and verbal communication, organizational skills, and the ability to maintain a realistic balance among multiple priorities. The successful candidate will have the ability to work independently on projects, from conception to completion, and handle a wide variety of activities and confidential matters with discretion.
What You'll Do Provide complex calendar management for multiple senior executives, prioritizing inquiries and requests while troubleshooting conflicts; make judgment calls and recommendations to ensure smooth day-to-day engagements Act as a liaison and provide meeting support. Arrange and handle all logistics for internal and client meetings: schedule meetings, draft agendas; develop, compile, and distribute presentation materials, and record meeting notes Plan and host executive meetings across the Greater Toronto Area, coordinating all on-site and off-site logistics including venues, catering, travel, and attendee coordination Manage the company's shared office space in Downtown Toronto, including space bookings, vendor relationships, supply management, and ensuring the office is equipped and operational for executive and team use Assist in the planning and organization of Introhive's annual Sales Kickoff (SKO) each January, including coordinating logistics such as venue sourcing, travel and accommodation arrangements, agenda development, presentation materials, and on-site execution support Assist in the planning and organization of Introhive's annual Employee Summit each July, including coordinating logistics such as venue sourcing, travel and accommodation arrangements, agenda development, event programming, and on-site execution support Work closely with the executive team to keep them well informed of upcoming commitments and responsibilities, following up appropriately Ensure executives are organized effectively and efficiently, surfacing any overlapping meetings, workload conflicts, or inefficiencies proactively Prepare and edit correspondence, communications, presentations, and other documents; be willing to advise on updates and changes and provide meaningful input Assist with special projects, designing and producing complex documents, reports, and presentations; collecting and preparing information for meetings Other projects/duties as assigned for the overall benefit of the organization
What You'll Bring Significant executive support experience, including supporting C-level executives Expert proficiency with G-Suite Strong verbal and written communication skills Exceptional organizational skills and impeccable attention to detail High degree of professionalism in dealing with diverse groups of people Ability to make appropriate, informed decisions regarding priorities and available time Ability to complete a high volume of tasks and projects with little or no guidance Ability to react with appropriate levels of urgency to situations and events that require quick response or turnaround Able to maintain a high level of integrity and discretion in handling confidential information Experience coordinating or managing office or shared workspace operations is considered an asset
Experience and Education
A suitable candidate will demonstrate strong business acumen and have proven planning skills as well as executive presence. Previous work experience in a matrix environment with multiple stakeholders and the ability to manage up and down. Candidates must be based in the Greater Toronto Area, as this role requires regular in-person presence for executive meetings and office management responsibilities.
