Are you a dynamic, detail-driven executive administrative professional with a passion for making a meaningful impact? Assisted Living Alberta (ALA) is seeking an experienced, highly skilled Executive Administrative Coordinator/Assistant. Working closely within the CEO’s office, you’ll support impactful, timely projects and assignments and manage competing deadlines while you ensure effective and accurate communication between stakeholders. As an organized, dependable and forward-thinking professional, you’ll provide research, arrange meetings, monitor financial matters, and guide long and short-term projects from conceptualization to delivery. This role reports to the Executive Associate and is an indispensable part of the team supporting the Chief Executive Officer. You’ll be joining a dedicated team committed to building a sustainable healthcare model that works for staff, managers, patients, and families. Assisted Living Alberta offers Albertans a comprehensive, holistic system of assisted living with a full range of wrap-around services, including medical and non-medical supports, continuing care homes, home and community care, and social services. Description:
The Executive Administrative Coordinator provides comprehensive administrative and office support for the office of the Chief Executive Officer (CEO), Assisted Living Alberta (ALA). This role works on short- and long-term assignments for a variety of program initiatives and issues. The Coordinator is accountable for administrative, information management, issues management and project management responsibilities. It coordinates portfolio and service assignments and manages action requests sent from the Ministerial Correspondence Unit, reviews and assesses correspondence directed to the CEO, briefs the CEO on administrative issues that may affect the organization, and supports organizational initiatives by reviewing administrative requirements, and compiling and summarizing background information. The Coordinator provides a range of administrative support to the CEO, including scheduling, preparing correspondence and documents, developing agendas and meeting packages for leadership and executive committee meetings, planning and coordinating special events, and overseeing various financial matters for the CEO’s office.

Required Qualifications:
The successful candidate holds a diploma in Office Administration, Business Administration, or a related field and has a minimum of five years of progressively responsible administrative experience. Equivalent combinations of education, experience, and demonstrated competencies may be considered.
Additional Required Qualifications:
Advanced proficiency with Microsoft Office Suite, including Outlook, Word, Excel, SharePoint, and PowerPoint is required. The successful candidate can functionally supervise, coach, and mentor Administrative Support staff. The incumbent demonstrates sound judgment, political awareness, and sensitivity to the varied interests of internal and external stakeholders, while anticipating needs and responding appropriately. Excellent written and verbal communication skills are essential, including the ability to prepare clear and accurate correspondence. The successful candidate must possess strong organizational skills and independently prioritize their own workload. The incumbent acts professionally when interacting with the public, management, staff, and other departments, while exercising confidentiality and discretion. The successful candidate establishes and maintains collaborative professional relationships and possesses broad knowledge of office policies, procedures, and applicable access-to-information and privacy legislation.
Preferred Qualifications:
Experience working in a healthcare environment. Education or experience in project management and financial management. Knowledge of Oracle (specifically PeopleSoft and MarkView). Proficiency in developing databases and/or advanced Microsoft Excel skills, including creating spreadsheets and reports.
