About the role

We are seeking a highly organized, proactive, and detail-oriented Real Estate & Facilities Coordinator to support the planning, coordination, and execution of capital projects, operational initiatives, and real estate improvements across the Ontario, Atlantic, and Western (OAW) region offices, with a primary focus on our Aurora location. This is a developmental role designed to provide exposure to a broad range of real estate and facilities management initiatives, making it an excellent opportunity for an early-career professional looking to build expertise in project management, construction coordination, building operations, and stakeholder engagement. Reporting to the Real Estate Group (OAW), the successful candidate will play a key role in supporting projects from conception through completion, helping to ensure timelines, budgets, documentation, and stakeholder communications are managed effectively. The role offers exposure to a variety of initiatives, including capital planning, office and building renovations, tenant improvements, sustainability and decarbonization projects, procurement activities, and operational excellence initiatives. The ideal candidate demonstrates strong organizational skills with the ability to manage multiple priorities, exceptional attention to detail, and strong follow-through. They are a strong communicator with excellent coordination and relationship-building skills, capable of working effectively with both technical and non-technical stakeholders. Client-focused, adaptable, and solution-oriented, they thrive in dynamic environments and take a proactive approach to problem-solving and continuous improvement.Working closely with internal partners and external consultants—including engineers, architects, contractors, vendors, and service providers—the Project Coordinator, Facilities Management & Real Estate will help facilitate project delivery, maintain accurate records, coordinate communications, and contribute to creating safe, efficient, and high-performing workplace environments. This position provides a unique opportunity to gain hands-on experience across multiple areas of commercial real estate and facilities management while building a strong foundation for future growth within the organization. More specifically, you will be required to: Coordinate and track capital projects, office renovations, tenant improvements, and building initiatives in the Aurora office while providing project support for other locations as required Assist in developing and maintaining project schedules, tracking progress, monitoring milestones, resolving issues, and ensuring project deliverables are completed efficiently and effectively Coordinate activities between internal stakeholders and external partners, including engineers, architects, contractors, HVAC specialists, building system consultants, and vendors to support successful project execution Support procurement activities by assisting with the preparation, issuance, administration, and evaluation of Requests for Proposals (RFPs), as well as vendor communications and onboarding Provide coordination support for construction projects, tenant improvements, and base building renovations, including site coordination, contractor scheduling, and issue tracking throughout project execution Assist in the planning and implementation of energy-efficiency, sustainability, and building decarbonization initiatives, while tracking project performance, key milestones, and related documentation Provide coordination support during building incidents and emergency situations, including assisting with communications, response activities, and the maintenance of emergency preparedness plans and documentation Maintain organized project records, including contracts, drawings, permits, inspection reports, and consultant deliverables, while tracking regulatory requirements and supporting compliance with applicable standards, policies, and building regulations.
