Position Summary
VCC is seeking adaptable Casual Clerical Support employees to provide administrative assistance across a variety of departments. This role is well suited to individuals who are flexible, organized, and comfortable working in different office environments on short notice.
Casual Clerical Support employees may be assigned to multiple departments and are expected to quickly adapt to varying workflows, systems, and team needs. Assignments may be of varying duration depending on operational requirements. This position requires strong administrative skills and the ability to work both independently and collaboratively in a fast-paced environment.
Duties & Responsibilities
- Word processes correspondence, tests, class lists, minutes of meetings and instructional materials, etc. Prepares, compiles and distributes information packages.
- Receives and responds to a high volume of enquiries over the telephone, in writing and in-person from key stakeholder groups. Screens calls, relays messages and provides information and assistance referring more complex or specialized queries to the appropriate personnel. Follows up with students, as appropriate.
- Schedules and coordinates, prepares and distributes agendas and supporting documentation, records, transcribes and circulate minutes.
- Update internal databases, shared files, spreadsheets, and tracking logs with a high level of accuracy.
- Perform general office duties including filing, faxing, photocopying, etc.
- Assist with routine student-related administrative tasks such as processing forms, maintaining records, and updating student information in internal systems.
- Assists department with instructors, booking rooms, videos, AV equipment, learning equipment, catering, and copyright permission. Monitors due dates and ensures materials, AV equipment, videos, etc. are returned on time.
- Support academic and administrative staff with day-to-day office tasks to ensure smooth departmental operations during peak periods.
- Follow established college policies, procedures, and service standards.
- Adapt to working in different departments, service areas, or campuses as assigned.
- Perform other related duties as required.
Qualifications
- Completion of Grade 12 or equivalent.
- Previous experience in an administrative, clerical, or office support role, or an equivalent combination of education, training, and experience.
- Proficiency in common office software, including Microsoft Office (Word, Excel, PowerPoint) and Outlook.
- Demonstrated ability to learn new systems, processes, and departmental procedures quickly.
- Minimum typing speed of 45 words per minute
- Strong organizational skills with the ability to manage multiple priorities and deadlines.
- Excellent verbal and written communication skills in English.
- Ability to adapt to different departments, teams, and work environments with minimal supervision.
- Professional and courteous approach when interacting with students, staff, and the public, both in person and by phone.
- High level of accuracy and attention to detail in word processing and administrative tasks.
- Ability to work independently as well as collaboratively in a team setting.
- Strong time-management skills and reliability, particularly in an on-call work arrangement.
- Comfortable working in a fast-paced office environment and responding to changing operational needs.
