About The Opportunity
On behalf of our client, we are seeking a proactive and detail-oriented Property Administrator to join a collaborative and close-knit team. This is a full-time, permanent position offering a competitive compensation and benefits package. Duties include but are not limited to:
Maintain comprehensive files, records, binders, and manuals (e.g., invoices, purchase orders, contracts, bank deposits, tenant/owner lists) Support accounts receivable activities, including tenant billing/invoicing, payment tracking, and follow-up on outstanding balances Assist with budget preparations and utility chargebacks in support of the Property Manager. Ensure lease compliance, including tracking tenant insurance certificates and related documentation Obtain and organize tenant quotes and handle procurement-related administration for repairs and services Liaise with third party service contractors and coordinate contractor security clearances as required Maintain vendor WSIB and insurance certificates and related compliance records Provide administrative support for capital and tenant improvement projects (tracking timelines, documentation, and vendor coordination) Collaborate with the Tenant Services Coordinator on tenant-specific service requests and communications Fulfill general administrative and site support duties (phones, supplies, mail/couriers, correspondence, records/binders) Assist with special projects and other duties as assigned
About You
The successful candidate will have the following:
3-5 years of administration experience in property management, real estate, or a related/similar industry Eligible to obtain and maintain a Secret level security clearance Strong knowledge of Microsoft Office (and/or Google Workspace) Excellent communication and organizational skills Ability to work proactively, independently, and as part of a team Post-secondary education in a related field is an asset
About the Job
The salary for this position is $60,000 to $70,000 annually, depending on experience. This is a full-time, onsite position in Ottawa, with a competitive benefits package and a stable, long-term role within a collaborative, close-knit team.
