If you require accommodation for the interview or any other part of the application process, please let us know.    ABOUT THE DEPARTMENT:   The Office of the CAO provides leadership, oversight, and strategic guidance to ensure the effective delivery of municipal programs and services. The office brings together critical functions including Corporate Records, Strategic Communications, and Council & Administration Support, that enables the Municipality to operate efficiently, transparently, and in alignment with its strategic priorities. By coordinating organizational initiatives, supporting Council and senior leadership, and ensuring clear and consistent communication both internally and with the public, the Office of the CAO plays a vital role in advancing the Municipality’s mission. The team fosters innovation, accountability, and collaboration across departments, helping to ensure that every project and decision contributes to a thriving community.    GENERAL DESCRIPTION:    Reporting to the Chief of Staff, the Executive Liaison provides executive administrative and coordination support to the Chief of Staff and the Chief of Staff’s Office. As part of the Chief of Staff’s support team, the position advances effective engagement and communication with Council, Administration, government partners, industry representatives, and the public. The incumbent manages information flow, supports scheduling and meeting coordination, prepares and maintains records and correspondence, and ensures timely follow-up on emerging issues, requests, and action items. The position also provides back-up and administrative support to the CAO’s Office and Mayor’s Office as required to ensure continuity of operations during absences, periods of high workload, and shifting priorities. Primary responsibilities of this position include:   Information Delivery Support: Receives, screens, and routes internal and external inquiries to appropriate departments or staff, ensuring requests are addressed efficiently. Tracks incoming information, requests, and action items, and follows up to support timely completion. Provides scheduling support and coordinates the preparation and organization of materials required for meetings and related activities. Compiles and organizes information to support reports, briefings, budgets, and other documentation, as well as assists in the preparation of briefing materials using information provided by departments. Identifies emerging or sensitive matters and escalates them to the Chief of Staff as appropriate. Provides administrative and coordination support to key functions within the Chief of Staff’s Office, including intergovernmental and industry relations activities.   Leadership and Support: Ensures COS is prepared for events and meetings. Attends and participates in meetings with internal and external stakeholders as requested by COS. Coordinates with internal staff and external stakeholders regarding scheduling, logistics, and information requests. Filters information both in and out of the office for accuracy and effective timeliness. Completes projects and special assignments on behalf of the COS, or as requested by the CAO’s and Mayor’s Offices.   General Administration: Manages the COS calendar and email and responds to requests for information. Reviews correspondence, coordinates meetings and travel, and fields questions/concerns that are directed to the COS Office. Is responsible for all administrative activities for the COS’s office including mail, filing, records, and expense management in accordance with Municipal governance, policies, procedures, and confidentiality requirements. Supports front-facing office functions, representing the Offices of the CAO and Mayor in a professional and service-oriented manner. In addition to contributing to the effective operation of the Chief of Staff Office and its function, providing back-up support to Senior Executive Liaison and across executive offices as required.   SKILLS REQUIREMENTS:   Candidates need to show evidence of the following:

Strong executive administrative and organizational skills, with the ability to effectively coordinate activities and maintain positive working relationships with internal and external stakeholders. Demonstrated ability to handle confidential and sensitive information with discretion, professionalism, and sound judgment in a politically aware environment. Strong information gathering, research, and organizational skills, with the ability to compile, format, and present information clearly and accurately to support decision-making. Highly organized and detail-oriented, with the ability to manage multiple priorities, deadlines, and competing demands in a fast-paced environment. Self-motivated and reliable, with the ability to work independently, anticipate administrative needs, and follow through on assigned tasks. Effective interpersonal and customer service skills, with the ability to interact professionally with stakeholders at all levels. Excellent written, verbal, and listening communication skills. Advanced proficiency in Microsoft Office applications (Word, Excel, PowerPoint, Outlook, SharePoint).

  EDUCATION:  

Diploma in Business Administration, Office Administration, Public Administration, or other related field is required. Certificate in Human Resources or Customer Service Training is preferred. Certification, or willingness and ability to obtain certification, in Basic Emergency Management (BEM) and Incident Command Systems (ICS) 100 is an asset. An equivalent combination of education and work experience may be considered.

  WORK EXPERIENCE:  

Seven (7) of progressive experience supporting executive-level leadership. Experience working in a municipal environment with multiple stakeholders is considered an asset. Experience working in a public-sector environment with unionized and non-unionized employees is considered an asset.
