About the Role We are looking for a highly organized, analytical, and proactive Sales Operations & Buying Coordinator to support our wholesale business across multiple brands, retail partners, and sales channels. This role sits at the center of sales, operations, buying, inventory, and reporting. The Sales Operations & Buying Coordinator will help manage the flow of information from forecast to buy, from order to shipment, and from sales performance to business analysis. We are looking for someone who is very strong with Excel, Google Sheets, and Google Workspace, and who is comfortable working with data, trackers, order files, forecasts, inventory reports, and sales tools. The ideal candidate is detail-oriented, structured, resourceful, and able to manage many moving pieces at once. This person should be able to follow up consistently, flag issues early, organize information clearly, and help the team make better decisions through clean data and strong execution. Role focus: Forecast → Sell → Buy → Order → Ship → Report → Analysis Key ResponsibilitiesSales Operations & Coordination • Support the sales team, external reps, and leadership with daily sales coordination, follow-ups, reporting, and execution. • Liaise with Business Solutions and Customer Service with accurate account, pricing, and product information needed to process customer orders. • Follow up with sales reps on booking deadlines, open opportunities, pending information, and next steps. • Prepare and distribute sales tools such as line sheets, price lists, catalogs, ATS reports, order forms, product information, and seasonal selling materials. • Support market appointments, sales meetings, trade shows, seasonal launches, and account presentations. • Prepare meeting recaps, action lists, and follow-up trackers to ensure priorities, deadlines, and ownership are clear. Purchase Order Management • Generate and submit purchase orders to suppliers accurately and on time, based on confirmed bookings and buy plans. • Review purchase orders for missing information, pricing issues, delivery dates, minimums, terms, and potential errors before submission. • Track purchase order status from submission to shipment and communicate updates to the team when needed. • Coordinate with logistics, warehouse, operations, and sales teams to help resolve supplier order issues, and share updates with customer service as needed. • Flag late orders, backorders, delivery risks, cancellations, inventory shortages, and supplier concerns before they become bigger problems. • Support purchase order allocation, substitutions, cancellations, and updates when required. Forecasting, Buying & Inventory Support • Support seasonal forecasting by brand, account, category, style, and SKU. • Assist in preparing buy files, order grids, sales history reports, and product performance analysis. • Review historical sales, bookings, inventory levels, and account performance to support buying and replenishment decisions. • Help track preseason buys, reorder opportunities, open purchase orders, vendor deadlines, and incoming inventory. • Maintain accurate style, color, size, price, cost, margin, delivery, and product information in buying and sales files. • Identify bestsellers, slow movers, stock risks, overstock situations, stockouts, and inventory opportunities. • Prepare and update forecast files, sales projections, ATS reports, and inventory planning documents. • Flag gaps between forecast, actual bookings, inventory on hand, committed inventory, and incoming stock. • Work closely with leadership to ensure buying decisions are aligned with sales needs and operational realities. Reporting, Trackers & Data Management • Build, maintain, and update sales trackers, order trackers, booking reports, forecast files, purchase order trackers, account follow-up documents, and sales recaps. • Track booking progress, sales forecasts, order deadlines, purchase order status, account performance, and follow-up actions by brand, season, account, and sales rep. • Use Excel and Google Sheets to manage, clean, organize, and analyze sales data, order files, inventory reports, and customer lists. • Prepare clear updates on open purchase orders, missing accounts, risks, priorities, sales performance, inventory needs, and next steps. • Monitor key accounts and flag when performance is below expectations or when follow-up is required. • Ensure shared drives, folders, sales documents, reports, and tools are organized and easy to access. Communication & Follow-Up • Communicate clearly and professionally with internal teams, external sales reps, customers, vendors, and brand partners. • Ensure follow-ups are completed in a timely manner and that open items are closed properly. • Summarize next steps after meetings and help keep everyone aligned on priorities, deadlines, and ownership. • Escalate issues when needed with clear context, possible solutions, and recommended next steps. Sample & Sales Tool Management • Coordinate seasonal samples, sample requests, sample shipments, returns, and tracking. • Ensure reps and internal teams have the tools, samples, product information, and selling materials they need to work effectively. • Help keep digital platforms, order portals, shared folders, and sales materials organized and updated. What Success Looks Like • Purchase orders are accurate, complete, and submitted on time. • Forecasts, buy files, trackers, and reports are accurate and up to date. • The team has clear visibility on bookings, inventory, purchase orders, sales risks, and opportunities. • Sales reps and customer service have the tools, information, and follow-ups they need. • Deadlines are managed proactively and not discovered at the last minute. • Inventory risks, late shipments, missing purchase orders, and sales gaps are flagged early. • The business can make better decisions because the data is clean, organized, and current. • Customers receive timely, professional, and accurate communication. • The sales, operations, and buying process feels more structured, visible, and under control. Qualifications • 3+ years of experience in sales coordination, sales operations, buying support, wholesale, merchandising, inventory planning, operations, or a similar role. • Advanced proficiency in Excel and Google Sheets is required, including formulas, filters, pivot tables, lookups, conditional formatting, data cleaning, large sales/order files, and reporting templates. • Experience working with sales reports, order files, forecasts, inventory reports, purchase orders, and wholesale account information. • Ability to build, maintain, and update sales trackers, order trackers, forecast files, buying files, reporting dashboards, and account follow-up documents. • Comfortable working with multiple systems and platforms, including order portals, ERP systems, B2B platforms, shared drives, and customer/vendor databases. • Strong organizational skills and excellent attention to detail. • Excellent written and verbal communication skills. • Ability to manage multiple priorities, brands, deadlines, and requests at the same time. • Experience with wholesale, fashion, footwear, outdoor, lifestyle, retail, or consumer goods is an asset. • Ability to work independently, follow through, and take initiative. • Strong problem-solving skills and a proactive, solutions-oriented mindset.
