About the Role The Sales & Planning Coordinator plays a key role across both Sales and Planning & Product Solutions teams, supporting everything from early-stage sourcing and budgeting through to polished, client-ready presentations. Working closely with Sales Directors, Product Buyers, and Planning teams, this role helps coordinate timelines, gather inputs, and ensure proposals are accurate, compelling, and aligned. It’s a highly collaborative position that blends organization, research, and commercial awareness, while offering exposure to supplier sourcing, budgeting, and program design. The salary range for this role is $60,000 - $70,000 annually.

End-to-End Proposal & Sales Support Support Sales Directors and Product Buyers with pre-sale sourcing, budget development, and proposal creation. Coordinate timelines, gather inputs, and ensure all deliverables are accurate, complete, and client-ready. Supplier Sourcing & Program Development Assist in sourcing hotels, DMCs, and experience providers by issuing RFPs, collecting proposals, and compiling information into clear, compelling formats. Contribute to building program elements (e.g., room blocks, program grids) that balance experience, cost, and feasibility. Budget Coordination & Cost Accuracy Support budget development by collecting quotes, updating cost models, and ensuring alignment with scope. Review for accuracy and contribute to understanding pricing, risks, and assumptions. Cross-Functional Coordination Act as a central liaison across Sales, Planning, Product, and Operations to align stakeholders, streamline workflows, and support internal meetings throughout the proposal lifecycle. Sales Operations & Administrative Support Manage sales documentation, maintain CRM and client data, coordinate scheduling, and ensure accurate proposal and order processing. Performance Tracking & Reporting Support CRM audits, pipeline tracking, and reporting needs to help monitor sales activity and performance. Research & Product Knowledge Development Conduct destination and supplier research, track industry trends, and build knowledge of products and experiences to support stronger proposals and creative program development. Supplier Coordination & Commercial Exposure Assist with supplier communication and gain exposure to contract terms, concessions, and negotiation processes while supporting senior team members. Proposal Handover & Transition to Operations Ensure all proposal materials, supplier details, and documentation are organized for a smooth transition to Operations once programs are confirmed. What You Bring 1+ year of experience in events, hospitality, or the meetings & incentive travel industry Exposure to sourcing, planning, or pre-sale proposal development is an asset Strong organizational skills with the ability to manage multiple priorities simultaneously Clear written and verbal communication skills A collaborative mindset and ability to work cross-functionally Comfort with Microsoft Office / Google Suite (CVENT is a plus) Curiosity and enthusiasm for global travel, destinations, and experience design Who You Are Curious & Eager to Learn: You actively build your knowledge of destinations, suppliers, and industry trends.
