The Opportunity The Operations Administrator supports the Wolf Midstream Conklin office and reports directly to the Supervisor, Operations - Wolf Pipeline. The Operations Administrator will work closely with both field and office staff, supporting daily operations and acting as a key point of contact. This position will assist with ongoing operations including supporting the Management of Change processes, health, safety, and training reporting. This Administrator will also manage all aspects of services for the Conklin office including coordination of building services. This position is located in Conklin, AB – 350km north of Edmonton. This position could be camp-based or daily commute depending on the location of the successful candidate. Key Responsibilities General office administration: Coordinate and track incoming deliveries to site in collaboration with Supply Chain Support company truck fleet administration – insurance, fuel cards, truck checks Coordinate meetings – room bookings, equipment needs, location, catering, etc. Book business travel and training courses Coordinate camp accommodation including schedules, and travel logistics for personnel Maintain office and site consumables weekly – kitchen supplies, coffee, industrial consumables - gloves, hardhats, lubricants, truck equipment Electronic submission of ordering supplies Purchasing, receiving & inventory management: Create purchase requisitions for all field material and service requirements Process receiving and material coding in D365, including approvals and document tracking Track field time tickets and assist with project cost tracking Support warehouse operations including stock counts and coordination of incoming shipments Coordinate routine deliveries and vendor services including expedited freight, water services, septic services, mail, and other operational vendors Occasional operation of forklift will be required Filing and reporting: Organize and maintain operational documentation ensuring timely and consistent electronic filing Assist with gathering safety related data for reporting Support procedure management by editing, formatting, updating, and tracking operational procedures Assist third-party laboratory sample coordination and documentation distribution Communications: Assist with preparation of correspondence, reports, presentations, spreadsheets, and operational documentation Support monthly Safety Meetings - agenda, assisting chairperson, minutes, and follow-up Support local site engagement initiatives including staff events, corporate events, and community engagement activities Provide administrative support across Operations, Safety, Supply Chain, and Administration teams as required Qualifications and Experience Education: Completion of a High School Diploma Related post-secondary education would be considered an asset Forklift certification would be considered an asset (training will be provided to the successful candidate) Experience: 5+ years of related experience Proficient in standard Microsoft Office software, including Outlook, Word, Excel, and PowerPoint; preference will be given to those with intermediate level experience or higher Experience with SharePoint is considered an asset Skills: Presents themselves professionally and takes pride in exceptional customer service Efficient, results oriented, and seeks ways to contribute in a meaningful way A self-starter who works collaboratively with team members Welcomes new challenges and has proven problem-solving capabilities Can manage confidential information with discretion Rewards Competitive compensation with eligibility in our bonus program Comprehensive benefits Employer matched savings plan Parental leave top-up Flex time Interested candidates should apply at www.wolfmidstream.com.
