Executive Assistant to the Chief Executive Officer
Position Overview Our client is seeking a highly skilled and proactive Executive Assistant to provide dedicated support to the Chief Executive Officer. This role is ideal for an experienced executive support professional who thrives in a fast-paced environment, exercises exceptional judgment, and can serve as a trusted partner to a senior executive. The successful candidate will be a strategic thinker with strong business acumen, outstanding organizational skills, and the ability to anticipate needs and manage competing priorities with discretion and professionalism.
Key Responsibilities Executive Support Provide comprehensive administrative support to the CEO. Manage a complex and constantly evolving calendar, ensuring effective prioritization of meetings, appointments, and commitments. Coordinate and schedule internal and external meetings with senior leaders, board members, stakeholders, and government representatives. Prepare meeting materials, agendas, briefing notes, and follow-up documentation. Draft, edit, and manage executive correspondence and communications. Strategic Partnership Act as a trusted advisor and sounding board to the CEO. Anticipate needs, identify potential scheduling or operational conflicts, and proactively recommend solutions. Support the CEO in managing priorities and ensuring focus on high-value activities. Exercise sound judgment when handling confidential and sensitive information. Presentation & Reporting Support Develop and format executive-level PowerPoint presentations and supporting materials. Produce high-quality documents with accuracy and attention to detail, often within tight deadlines. Support preparation for board meetings, leadership meetings, and strategic discussions. Stakeholder Management Liaise professionally with senior leaders, board members, external partners, government stakeholders, and community representatives. Demonstrate discretion and diplomacy when managing sensitive communications and strategic initiatives. Understand the appropriate timing, audience, and approach for executive communications. Qualifications Required Experience 5+ years of experience supporting a CEO, Executive Director, President, or other C-suite executive. Proven experience managing complex calendars and high-volume scheduling requirements. Experience supporting senior leadership teams and interacting with boards and executive stakeholders. Advanced proficiency with Microsoft Office, particularly PowerPoint, Outlook, Word, and Teams. Skills & Competencies Exceptional organizational and time-management skills. Strong prioritization abilities and the capacity to manage multiple competing demands. High level of emotional intelligence and professional maturity. Excellent written and verbal communication skills. Ability to work independently and take initiative. Strong attention to detail and commitment to delivering high-quality work.
