Coach Canada is seeking a highly organized and detail-oriented Maintenance Support Clerk to join our Maintenance Team in Mississauga.

This position plays an important role in supporting the day-to-day administrative and operational functions of the maintenance department. Working closely with maintenance leadership, maintenance personnel, vendors, and internal stakeholders, the Maintenance Support Clerk helps ensure maintenance programs, reporting, compliance activities, and workforce administration processes are effectively coordinated and maintained.

Key Responsibilities: 

  • Provide administrative and operational support to the Maintenance Department. 
  • Prepare, maintain, and organize maintenance records, reports, work order documentation, and departmental files. 
  • Track maintenance department KPIs and assist with reporting, data analysis, and performance monitoring initiatives. 
  • Maintain training, licensing, certification, and apprenticeship records and support regulatory compliance requirements. 
  • Support workforce administration activities, including vacation scheduling, shift postings, and departmental communications in accordance with Collective Bargaining Agreement requirements. 
  • Coordinate vendor, contractor, and service provider appointments, inspections, and maintenance-related activities. 
  • Process purchase orders, invoices, work orders, and other maintenance-related documentation in a timely and accurate manner. 
  • Support maintenance leadership with departmental reporting and administrative projects. 
  • Assist with monitoring operational information and identifying discrepancies requiring follow-up. 
  • Coordinate onboarding activities and training administration for new maintenance employees. 
  • Assist with audit preparation, compliance tracking, document control, and continuous improvement initiatives. 
  • Support the implementation and maintenance of departmental processes, procedures, and administrative controls to promote consistency and operational efficiency.
  • Support various administrative and operational functions within the Maintenance Department as business needs evolve. 
  • Perform other related duties as assigned. 

Qualifications

  • Minimum two (2) years of experience in an administrative, maintenance support, transportation, fleet, logistics, or operations environment. 
  • Strong organizational, administrative, and time management skills. 
  • High attention to detail and accuracy. 
  • Strong computer skills with the ability to learn and utilize various software applications and fleet management systems. 
  • Previous experience with fleet maintenance, work order, inventory, or transportation-related software systems. 
  • Proficient in Microsoft Office, particularly Excel, Word, and Outlook. 
  • Strong communication and interpersonal skills. 
  • Ability to manage multiple priorities and meet deadlines. 
  • Experience in a maintenance, transportation, fleet, manufacturing, or industrial environment is an asset. 
  • Experience in a unionized environment is an asset.
  • Ability to work full-time on-site and support the day-to-day needs of a 24/7 maintenance operation.
