Introduction Reporting to the Executive Assistant to the Regional Executive Director of Education and working in a fast-paced environment, the Receptionist acts as the first point of contact for our school community and visitors to the Centre. The Receptionist will play a key role in creating a welcoming and efficient environment. The ideal candidate will possess friendly and professional communication skills, a strong sense of organization, and the ability to handle multiple tasks. This is a 12 month position of trust and requires a high level of accountability, confidentiality, professionalism and responsibility. While tasks may vary from time to time with the evolution of the organization, duties may include (but are not limited to) the following:- Meets and greets clients, visitors, and employees with a warm and welcoming demeanor.- Operates telephone switchboard and directs incoming calls to office personnel, including relay of emergency meetings - Manage Appointments: Schedule and confirm appointments, arrange meetings, and maintain the appointment calendar.- Schedules Central Office meeting rooms via the Regional Centres website.- Distributes Regional mail (incoming and outgoing).- Utilizes current technology to locate and issue high school transcripts and archived records. - Maintaining & organizing student records.- Maintain employee and Department directories.
Minimum Requirements - High School Diploma- Completion of a recognized Office Administrative Assistant program (or direct work related experience).- 1-3 years' experience
Additional Assets - Exceptional telephone etiquette skills;- Excellent interpersonal, oral and written communication skills;- Proficiency in word processing;- Ability to handle multi-tasks simultaneously;- Ability to work independently while prioritizing own workloadDemonstrated ability:- Positive interpersonal skills when interacting with staff and outside community members of the Region- Attention to detail and action oriented- Demonstrated proficiency with Microsoft Office Suite applications
