POSITION SUMMARY The Office and Project Manager is a trusted, highly organized, and service-oriented member of the BRIFC team. This role is responsible for the effective day-to-day administration and operational coordination of the organization, while providing responsive support to colleagues, donors, partners, vendors, and other stakeholders. The Office and Project Manager will manage core office systems, donation administration, financial coordination, board support, partner communication, and event-related logistics to help ensure that BRIFC’s work moves forward smoothly, accurately, and efficiently.
KEY RESPONSIBILITIES Office Operations and Administration Provide proactive, responsive support to the BRIFC team across administrative, operational, and organizational needs, helping to ensure that priorities are coordinated and work moves forward smoothly and efficiently. Oversee day-to-day office administration, maintain efficient workflows, and develop practical operational procedures that improve consistency and effectiveness. Manage vendor relationships, service providers, contracts, service agreements, office insurance policies, and renewal schedules. Coordinate procurement and inventory management for office supplies, equipment, and related services. Maintain organized office files, records, and systems, and support compliance with organizational policies and applicable regulatory requirements. Monitor incoming mail and packages, including checking the mailbox and lobby/front-desk deliveries at least twice weekly.
Financial Administration and Donation Processing Work closely with the bookkeeper and accounting firm to support accurate donation processing, reporting, monthly reconciliations, and budget tracking. Meet regularly with the bookkeeper, at minimum monthly, to review financial transactions, reconciliations, outstanding items, and related reporting. Support the bookkeeper and accountants in preparing documentation and schedules required for the annual audit. Oversee the intake and processing of donations received by cheque, credit card, EFT, and other approved methods. Process credit-card donations received by phone in Salesforce and issue tax receipts for gifts processed manually through Salesforce; online gifts generate automatic tax receipts. Reissue and revise tax receipts as required through Salesforce. Coordinate with Taglit-Birthright Israel regarding trip-deposit donations, including receipt of bank deposits and donor lists, and issue corresponding tax receipts through Salesforce. Provide the Resource Development team in Israel with monthly totals of funds raised in Canada.
Data, Systems, and Reporting Maintain, update, and optimize Salesforce records for donors, alumni, parents, and partners, including data clean-up and quality control when required. Liaise with BRIFC’s Salesforce implementation partner to troubleshoot issues, maintain efficient systems, and support continuous improvement. Use Taglit-Birthright Israel’s work-management platform to communicate and coordinate effectively with colleagues in Israel.
Board and Governance Support Prepare and distribute materials for Board of Directors meetings, including agendas, reports, meeting packages, minutes, and other relevant documents. Attend meetings as required and prepare accurate, timely meeting minutes and follow-up materials.
Partner, Stakeholder, and Vendor Relations Act as a primary administrative liaison with BRIFC program partners, stakeholders, service providers, and vendors. Coordinate meetings, presentations, contracts, agreements, and partner inquiries, ensuring timely, professional communication and follow-through. Support relationship-building and engagement initiatives that strengthen collaboration with BRIFC partners and stakeholders. Liaise with the Tailor Made team, Canada’s Trip Organizer, and with colleagues at Taglit-Birthright Israel as required. Manage Priority Requests (TQs) for participant trip placements in accordance with BRIFC and partner procedures.
Event and Team Support Provide administrative and logistical support to the BRIFC team for events and initiatives, including coordination with vendors, hosts, host committees, and service providers. Assist with invitations, RSVP tracking, event materials, post-event thank-you communications, and other relevant planning and follow-up.
Tribute Card Program Prepare and distribute printed and electronic tribute cards, including donor correspondence, bulk-mailing list review, billing coordination, and record maintenance. Manage the Jewish holiday card program, including annual planning, production, mailing, donor communication, and related administration.
QUALIFICATIONS AND CORE COMPETENCIES Demonstrated experience in office management, operations, executive or administrative support, or a related role; experience in a nonprofit, charitable, or professional-services environment is an asset. Strong organizational, prioritization, and follow-through skills, with exceptional attention to detail and the ability to manage multiple priorities with discretion and sound judgement. Comfort handling confidential donor, financial, and organizational information with professionalism and care. Experience using CRM platforms; Salesforce experience is strongly preferred. Strong proficiency with Canva; Zoom; Microsoft 365, particularly Outlook, Word, Excel, Teams, PowerPoint and OneDrive; comfort learning and using work-management and collaboration platforms. Clear, polished written and verbal communication skills, with a warm, responsive, and service-oriented approach to colleagues, donors, and partners. Ability to work independently while collaborating effectively as part of a small, dynamic national team.
