100% Permanent SECONDARY SECRETARY (10 MONTH)

Location: Bishop Macdonell High School, Guelph, Ontario

Anticipated Start Date: August 31 2026

35 hours per week between the hours of 8:00 a.m. and 4:30 p.m.

Band 3: $30.29 - $34.64 per hour

Reception Duties

RESPONSIBILITIES AND DUTIES:

Respond to telephone calls, messages, to general inquiries, and assist students, staff, parents, visitors and student success teams in the main office Page on the P.A. system Responsible for daily outgoing mail and courier and maintenance of postage Assist in distribution of incoming mail and courier Provide secretarial and general office support such as word processing, filing and photocopying Support Head Secretary with bookkeeping, as required Ensure that all data is accurate and current in Student Information System (e.g., demographic data) Support Guidance Secretary to maintain OSRs in accordance with Board and Ministry Guidelines (e.g., filing data/reports and testing documentation; filing EQAO results; filing Report Cards with applicable IEP in OSRs) Book and maintain records for use of conference room Support Administration/Head Secretary with assignment of lockers to students Support Head Secretary with Orientation of new staff including distribution of keys/codes and daily supply staff Perform administrative duties pertaining to community use of the school Complete and submit Student Accident Report for OSBIE

Attendance Duties

Admit and excuse students and input into Student Information System Remove, record and input from messages on voicemail Contact parents/guardians regarding absent students File attendance notes daily Provide admit & excuse slips for student entering and leaving Inform Administration of student attendance issues of truancy, late, etc. Maintain accurate student attendance in Student Information System Make necessary information changes (e.g., student biographic information in Student Information System) and inform Guidance Send out SchoolMessenger messages Prepare correspondence for administration regarding attendance Preparation of attendance reports for administration, parents, counselors, students Communicate information to teachers and administration, as necessary (e.g., students on vacation, ill for long periods, homework requests, etc.) Create daily attendance file to store daily events and information Communication between student/parent, bus company and transportation consortium Maintain strict confidentiality of students and staff Duties as assigned (e.g. graduation, registration, proofing materials) Perform other duties as assigned by the Principal, Vice-Principals, and Head Secretary

Required Qualifications And Experience

Must have a Secondary School Diploma and s ome Community College courses in Office Administration, business, and additional computer courses Must have at least 1 (one) year of previous related experience Experience with related computer programs in Microsoft Office, Internal Board Programs including Student Information System , SDS, SmartFind Express , Microsoft Outlook and SchoolMessenger Demonstrated excellent interpersonal and communication skills, both written and verbal, with parents, students, external contacts Have excellent and accurate data entry, word processing/typing skills Strong organizational, time management and prioritization skills Maintain confidentiality of staff and students Demonstrated ability to work independently as well as part of a professional team Have sound judgment, excellent analytical and problem solving skills, tact and diplomacy Have the ability to divert attention from one task to another in order to meet deadlines
