About the role

Operations Coordinator

Property.ca is one of Canada's leading real estate search platforms, and one of the most recognized names in Toronto real estate. We're in an exciting moment: scaling our agent base, refining our tech, and sharpening the brand that's made us a household name in this market. Behind every great agent experience, smooth onboarding, and well-run office is a tight operations engine, and that's where you come in.

We're hiring an Operations Coordinator to be the steady hand at the center of it all. You'll join a small, energetic team based out of our Distillery District office, keeping the day-to-day humming across inbox management, lead distribution, CRM updates, onboarding and offboarding, calendar coordination, and everything in between. If you love variety, take pride in a well-organized inbox, and get a quiet thrill from a process that just works, keep reading.

What you'll do

Keep the office and operations running You're the person who makes sure the Distillery office feels like a place people want to work. That means general upkeep, supply orders and restocking, food orders for meetings and workshops, security fob setup and distribution, and being the first line on anything office-related that comes up.

Support the agent lifecycle (the admin side) From the moment a new agent says yes to the moment one moves on, you'll keep the paperwork and process moving. You'll run onboarding paperwork through MAP, support the offboarding process including account removal and exit surveys, and keep the agent database in Google Drive clean and current.

Be the Administrative go-toYou'll handle day-to-day CRM updates, review and approve agent uploads, process branch transfers and catchment area adjustments, set up new accounts, and troubleshoot the everyday stuff agents run into.

Support inboxes, leads, and calendars You'll be the eyes on the general Operations inbox, handling lead distribution and transfer requests as they come in. You'll also coordinate calendar invitations for call sessions, workshops, and meetings, and help keep our call sessions organized and running smoothly.

This is a brokerage. Things move fast and no two weeks look the same, so flexibility and a "sure, I'll figure it out" attitude go a long way.

Who you are

  • You've got 2 to 5 years of office or admin experience under your belt. Executive assistants, you're a great fit here.

  • Real estate or CRM experience is a nice-to-have, not a must. If you've worked in a brokerage before, even better.

  • You're detail-obsessed. Typos, missed steps, and "I'll get to it later" are not your style.

  • You bring a positive, outgoing energy to the office. People like working with you, and you like working with people.

  • You thrive in a team environment and you're just as comfortable taking direction as you are running with something on your own.

  • You're organized, proactive, and the kind of person who notices the supply closet is low before anyone else does.

  • You can commute to and work from our Distillery District office five days a week. This is an in-office role.

Why Property.ca We're one of the most recognized names in Toronto real estate. We move fast, care about the craft, and don't settle for "fine." If you want to build a career in operations at a brand people know, and work with people who love what they do, this is the room to be in.
