Role Overview:
Mountain View Electric Ltd. is seeking a dedicated Administrative Assistant to join our growing team. In this role, you will receive comprehensive training in customer service, accounts payable, billing, and collection efforts, while also being cross-trained to support other departments as needed. You?ll work closely with other team members to ensure smooth office operations and provide exceptional service to both internal and external customers.
Key Responsibilities:
- Customer Service & Reception: Greet and assist visitors, manage phone calls, and handle general inquiries in a professional and friendly manner.
- Accounts Payable Support: Assist in processing invoices, matching purchase orders, and reconciling statements to maintain accurate financial records.
- Billing & Collections Support: Help prepare and send customer invoices, track payments, resolve billing discrepancies, and assist in collection efforts to follow up on outstanding payments.
- Administrative Support: Provide administrative assistance across various departments, including managing documents, organizing records, and supporting office tasks as needed.
- File & Record Management: Maintain organized and up-to-date records, ensuring that all information is easily accessible and properly stored.
- Collaboration: Work closely with other departments to support cross-functional tasks, assist with projects, and ensure smooth workflow across the company.
- Continuous Learning: Be open to learning new tools, technologies, and procedures, and continually enhance your skills as you grow with the company.
Qualifications:
- High school diploma or equivalent (additional certifications in office administration or accounting are a plus).
- Strong organizational skills with high attention to detail.
- Excellent verbal and written communication skills.
- Ability to multitask, prioritize, and work effectively in a fast-paced environment.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook); experience with accounting or invoicing software is an asset.
- A positive attitude and a willingness to learn new tasks and systems.
Job Type: Full-time
Pay: $41,600.00-$55,000.00 per year
