ABOUT THE ROLE & TEAM The Administrator provides comprehensive, high-level administrative and operational support to the GEO President and key members of the SITA Americas leadership, ensuring the efficient, seamless functioning of the executive office and its associated departmental activities. This role blends advanced administrative expertise with proactive executive support, serving as a central point of coordination across the organization. The incumbent manages a broad range of tasks, from moderately complex to highly sensitive, including gathering and analyzing information from diverse sources, preparing non-routine reports and correspondence, and designing and maintaining effective record-keeping within existing tools. In supporting the executive, the role requires an understanding of ongoing business matters, enabling the prioritization of issues, identification of key risks, and timely escalation of critical decisions. The Administrator ensures smooth operational tasks (e.g., approval of travel and expenses, creating purchase requisitions, and other tasks) through interface with internal and external stakeholders across departments and geographies, exercising strong judgment, professionalism, and discretion. WHAT YOU’LL DO Monitor Outlook and Team messages and ensure efficient follow-up. Ensure day-to-day administrative responsibilities; manage and follow up the SVP's/GEO President's incoming and outgoing mail and messages; manage his/her agenda and ensure appropriateness and timeliness of arrangements for meetings, travel, accommodation, and events. Filter and highlight priority situations and tasks requiring immediate action. Prepare reports and presentations in liaison with managers and SVPs/GEO Presidents. Organize meetings and conferences, both in-house and externally, including preparation of agendas, coordination of logistics, compilation and distribution of required documentation and presentations; handle follow-up actions where necessary. Handle travel arrangements as well as related expense claims, liaising with the internal travel desk. Assemble required information and manage delivery of action items generated during meetings. Ability to handle sensitive and confidential material strictly in accordance with policy and instructions. Create purchase requisitions to support the teams in the Americas. Support the teams with logistics requirements for events organized by Marketing. Review of expenses reports following established corporate policies and procedures, and revert in case of non-compliance, and once cleared and compliant submission, approve them. Approve requests, expenditure, and recommendations on behalf of senior people in their absence, according to agreed guidelines and policies;
Qualifications
ABOUT YOUR SKILLS Minimum 5 years of experience in a similar role acquired in a fast-paced multinational business environment. Bachelor's degree or equivalent. Ability to exercise judgment, within defined parameters, in applying relevant policies, procedures, regulations, and program objectives (for example, accounting principles, departmental requirements, departmental and company rules and regulations) and in reviewing transactions (for example, purchasing) Oral and written communication skills to interpret and apply policies and procedures and to resolve problems Strong attention to detail High level of PC literacy and computer skills.
