About the Position

Explore Edmonton is seeking a Corporate Administrator to provide integrated administrative and coordination support across Corporate Services and the Office of the CEO.

Reporting to the Director, Board Governance & Strategic Projects, the Corporate Administrator provides integrated administrative and coordination support to Executive Directors, corporate initiatives, and governance processes through the coordination of scheduling, logistics, communications, and administrative functions. This role supports the efficient delivery of meetings, events, and corporate activities while assisting with CEO Office requirements, Board and Shareholder processes, and cross-functional initiatives in a fast-paced environment that requires a high level of organization, attention to detail, and professionalism.

What you'll do:

  • Coordinate and support corporate initiatives, events, and operational activities, including registration management, on-site logistics, RSVP tracking, and other event-related activities.

  • Prepare, format, and distribute corporate correspondence and materials on behalf of the Office of the CEO and Corporate Services.

  • Coordinate meetings, materials, and logistics to support the CEO Office operations and the Executive Director's activities.

  • Maintain accurate, organized, and accessible corporate information, records, stakeholder interactions, and communications.

  • Support cross-functional initiatives and working groups through effective coordination, documentation, and follow-up on actions and deliverables.

  • Provide reception coverage and shared administrative support across the Corporate Administration team as required.

  • Maintain accurate, organized, and forward-looking schedules and commitments for Executive Directors.

  • Coordinate meetings, engagements, and related logistics, ensuring all materials and documentation are complete and accurate.

  • Process expenses and invoices accurately, in compliance with corporate policies and procedures.

  • Coordinate stakeholder communications, inquiries, and workflow requests to support timely responses and effective execution across teams.

  • Support the coordination and delivery of corporate communication, engagement initiatives, Board and Shareholder meetings, and governance activities.

What you bring:

  • Post-secondary diploma or certificate in Office Administration, or an equivalent combination of education and experience.
  • 3–5 years of relevant experience in a professional environment.
  • Strong organizational and time management skills, with the ability to manage multiple priorities and competing deadlines.
  • High attention to detail and accuracy, particularly when preparing correspondence and coordinating logistics.
  • Strong written and verbal communication skills, with the ability to produce professional corporate materials.
  • Demonstrated ability to work collaboratively across teams and support multiple stakeholders
  • Proficiency in administrative and business systems, including Microsoft Office, CRM systems, Concur, and NetSuite.
  • Strong problem-solving skills and the ability to proactively identify and address coordination and administrative needs.
  • Ability to handle sensitive information with discretion and professionalism.
  • Ability to work effectively in a fast-paced environment while managing multiple priorities.
