Job Summary

The Department of Psychiatry is a large clinical and academic department affiliated with Dalhousie University, Nova Scotia Health, and IWK Health, providing psychiatric care, education, and research. Reporting to the Operations Manager, Psychiatry, the Postgraduate Education Coordinator coordinates and administers the residency program, including resident scheduling, curriculum delivery, evaluations, accreditation activities, and administrative support to program leadership

Key Responsibilities

Administer and coordinate the Psychiatry Postgraduate Residency Program ( PGY -1 to PGY -5), serving as the primary resource for residents, faculty, and stakeholders. Manage resident schedules and rotations, including annual rotation assignments, call schedules, vacation requests, leaves of absence, and external placements. Coordinate the academic curriculum and teaching program, including lectures, journal clubs, teaching schedules, attendance tracking, and educational resources through One45 and Brightspace. Oversee resident evaluations, examinations, and progression, including rotation evaluations, oral examinations, STACER (Structured Assessment of Clinical Evaluation Report) exams, promotion reviews, and resident performance tracking. Support accreditation and regulatory requirements, coordinating documentation, reports, and site visits for the Royal College and other governing bodies. Provide administrative and committee support to program leadership, including the Postgraduate Director and key education committees, while maintaining highly confidential resident records and communications.

Note

The successful applicant will be eligible for hybrid work (combination of in-person work on campus and remote work from within Nova Scotia) as agreed by all parties based on operational requirements and university guidelines.

Required Qualifications

Business/Administrative Professionals program with approximately five years’ related experience (or an equivalent combination of training and experience). Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook and Publisher). Exceptional organization, communication, and confidentiality skills Ability to work independently in a complex educational program environment. Demonstrated experience coordinating complex schedules, educational programs, and stakeholder communications within a clinical, academic, or healthcare environment.

Assets

Knowledge of postgraduate medical education policies, accreditation standards, licensing processes, and evaluation systems.
