The Role
The Estimating Administrator plays a key role in supporting the tender opportunities within the Estimating Department. This position is responsible for assisting the Estimating team through effective document management, data entry, and administrative support using platforms such as Google Drive, Bluebeam, and Microsoft Office.
Key Responsibilities
- Maintain estimating systems, processes, and procedures
- Perform general administrative and record-keeping functions
- Coordinate with subcontractors, suppliers, and vendors regarding bid invitations, pricing, addenda, and tender closings, when required
- Support the estimating team in preparing accurate and timely bid submissions
A Day in the Role
- Maintain and monitor the Estimating Department email
- Answer Department telephone
- Complete Tender Reviews based on approved tenders
- Set up and organize new tender folders
- Maintain and update tender dates within the Estimating Google Calendar, including addendum revisions
- Update the Bid Board
- Download and organize addenda documentation
- Assist with prequalification submissions and supporting documentation
- Assist with Requests for Quotation (RFQs) to trades and suppliers when required
- Update and maintain internal company spreadsheets and tracking systems
- Provide additional administrative support and related duties as required
Qualifications & Skills
- Strong organizational skills with exceptional attention to detail
- Ability to manage multiple bids and deadlines in a fast-paced environment
- Excellent verbal and written communication skills
- Minimum 2–3 years of experience in an administrative role
- Previous experience in civil construction is considered an asset
- Valid Class G Driver’s License
- Advanced proficiency in Microsoft Excel and Word
- Experience with Bluebeam and Google Workspace is considered an asset
Work Environment
- Office-based role
- Occasional travel may be required for tender-related duties
- Standard 40-hour work week
