The Opportunity
We are seeking a highly organized and proactive Executive Assistant to join our team. This position will play a key role in providing strategic and administrative support to a senior leader.
The successful candidate will be responsible for managing competing priorities, coordinating internal and external stakeholders, maintaining accurate reporting, and supporting the execution of strategic initiatives. This role requires strong organizational and communication skills, attention to detail, sound judgment, and the ability to operate effectively in a fast-paced environment.
Primary Responsibilities
Strategic Executive Support
Manage the Senior Leader’s calendar, meeting coordination, travel arrangements, and expense administration. Monitor and prioritize incoming communications, meeting requests, and scheduling requirements. Prepare reports, presentations, agendas, and meeting materials in support of strategic initiatives and stakeholder meetings. Track action items, deadlines, and deliverables to support effective execution across multiple priorities. Coordinate cross-functional projects by gathering inputs, maintaining timelines, and ensuring follow-through across stakeholders. Maintain and update CRM records within HubSpot Draft and edit professional correspondence, stakeholder updates, , and other written communications. Support meeting preparation and follow-up activities to ensure timely completion of outstanding items.

High degree of professionalism, discretion, accuracy, and attention to detail. Demonstrated initiative and ability to proactively identify and resolve issues. Strong written and verbal communication skills with the ability to interact professionally across internal and external stakeholders. Ability to work independently while contributing effectively within a collaborative team environment. Comfortable working with technology platforms and leveraging AI productivity tools to improve efficiency and workflow management. Strong process orientation with the ability to maintain accurate records, follow-ups, and reporting. Interest in wealth management, philanthropy, and relationship-driven business environments.
Qualifications
Minimum of 3-5 years of administrative assistance or 1–2 years of executive assistance experience in executive support in a consulting, financial services, or another fast-paced professional environment. Minimum of postsecondary diploma in business, office administration, or a related discipline preferred. Experience supporting multiple stakeholders or clients within a professional services environment is considered an asset. Proficiency with Microsoft Office applications including PowerPoint, Excel, Outlook, and Teams. Experience working with CRM systems; HubSpot experience is considered an asset. Excellent written and verbal communication skills, with strong attention to detail and follow-through. Ability to manage sensitive information with professionalism and discretion.
Compensation

Assets Under Consultation is different from the more traditional Assets Under Management metric of measurement.
