SALARY RANGE:  $93,320.00 - $106,045.00

PRIMARY JOB RESPONSIBILITIES:   Reporting to the Associate Registrar, Systems and Records,  the Assistant Registrar, serves as the main administrator and subject-matter expert for sustainment and records.  The Assistant Registrar will also be responsible for the day-to-day management of the Functional Specialists and Reports and System Administrators in the absence of the Associate Registrar.

The  key job functions include: •    Provide strategic and operational leadership for Student Records, Sustainment, Scheduling, and Examinations, ensuring the delivery of efficient, high-quality services. •    Oversee UWinsite Student functional operations, business processes, system enhancements, and continuous process improvement initiatives. •    Ensure the accuracy, integrity, and compliance of student records, scheduling, and academic administration processes. •    Collaborate with internal stakeholders, functional specialists, and IT partners to support system configuration, issue resolution, and institutional priorities. •    Lead, mentor, and develop staff by providing direction, performance management, training, workforce planning, and fostering a culture of service excellence and continuous improvement. •    Manage operational risks, develop mitigation strategies, and support the implementation of University, provincial, and federal policies and initiatives. •    Develop, maintain, and communicate procedures, documentation, and knowledge resources to support consistent service delivery and operational effectiveness. •    Represent the Associate Registrar as required, participate in University-wide initiatives and events, and perform other related duties as assigned.

ESSENTIAL QUALIFICATIONS: The successful candidate will have: •    A bachelor’s degree in business or related field •    Three (3) to five (5) years' experience managing multiple direct reports in a professional environment •    Minimum three (3) to five (5) years' experience working in a registrarial or related department in a post-secondary educational environment with increasing levels of responsibility  •    Extensive experience with large-scale integrated database management tools such as PeopleSoft/Campus Solutions and functional query tools and budgets •    Proficiency in the use of Team Dynamix or similar ticketing system •    Understanding of University policies and bylaws with experience in policy research, development, and implementation   •    Proficiency with computer programs such as the Microsoft Office suite of applications, and database management tools •    Excellent interpersonal, coaching and mentoring skills with demonstrated ability to manage, lead, and motivate unionized staff •    Effective time management and strong organizational skills and the ability to multitask and work under pressure •    Demonstrated attention to detail, the ability to meet strict deadlines and work effectively due to constantly changing institutional and government priorities and mandates •    Sound judgment with demonstrated problem solving and analytical skills – ability to identify and analyze opportunities and challengers; generate, propose and execute solutions coupled with a willingness to recommend and implement change •    Demonstrated ability to maintain and manage confidential matters and a working knowledge of the Freedom of Information and Privacy Act (FIPPA) •    Demonstrated commitment to the principles of equity and diversity and a proven ability to deal effectively with a diverse student, staff, and faculty population •    Strong oral, written and presentation communication skills •    Proven conflict and performance management skills •    Familiarity with the University’s academic and administrative structure •    May require some travel to support university-wide initiatives

PREFERRED QUALIFICATIONS: •    Master’s degree in higher education administration, higher education, education, business administration, or related field
