Your Team:
Join Flair’s Executive Office team, where efficient administration and coordinated support enable the day-to-day operations of the business. Reporting to the Director, Executive Office Operations, the Office & Travel Administrator is responsible for coordinating corporate travel, office operations, access management, parking administration, and selected purchasing activities across the organization. This role supports multiple departments by ensuring administrative processes are delivered efficiently, accurately, and in a cost-conscious manner.
The Office & Travel Administrator manages corporate (non-crew) business travel arrangements, including flights, hotels, approvals, payment coordination, and travel tracking, while supporting urgent travel requirements as needed. The role also oversees office administration activities, including access management, boardroom bookings, RAIC and parking administration, asset return coordination, and the procurement of office supplies and other business-related items. Working closely with internal stakeholders, landlords, vendors, hotels, airports, and external service providers, the role ensures the effective delivery of administrative services across the organization.
A Day in the Life:
- Manage the purchase of weekly office and hangar supplies, ensuring cost-effective sourcing and vendor selection.
- Respond to office-related maintenance and repair requests, coordinating with landlords, vendors, and internal departments to ensure issues are addressed in a timely manner.
- Maintain and update office reference materials and booklets to ensure information remains current and accurate.
- Coordinate and distribute regular office communications, including building notices, maintenance updates, and other landlord-related information.
- Manage office access, including issuing keys and fobs, purchasing replacements as required, maintaining access records, and coordinating related processes with building management and internal teams.
- Coordinate boardroom and meeting room bookings for internal departments and business needs.
- Manage the corporate travel inbox and respond to travel-related inquiries, including providing cost information for approval purposes.
- Coordinate and book all corporate (non-crew) business travel, including Flair flights, external flights, and hotel accommodations, ensuring all travel is appropriately approved and booked in the most cost-effective manner.
- Review and approve corporate (non-crew) hotel requests, ensuring alignment with corporate travel standards, negotiated rates, and budget expectations.
- Coordinate hotel prepayments, authorization forms, and payment records for negotiated hotel partners.
- Maintain accurate documentation of travel bookings and costs, and provide monthly reporting to Finance for cost allocation and coding.
- Manage the Egencia account, including adding and removing users, coordinating access through SSO, and arranging guest travel bookings when required.
- Support urgent and time-sensitive travel requests, including maintenance AOG travel requirements.
- Conduct monthly RAIC audits to ensure records are accurate and employees remain active in applicable systems.
- Complete monthly parking audits for crew and non-crew parking accounts, maintain accurate records, and coordinate additions, removals, and visitor registrations with airport or third-party parking authorities.
- Support ad hoc parking requests and related follow-up, as required.
- Manage the travel budget and support cost control through accurate tracking, reporting, and vendor coordination.
- Coordinate the ordering of corporate and HR swag, lanyards, and other department-related items, including obtaining quotes and identifying cost-saving opportunities.
- Support other departments by assisting with quotes, ordering requests, and related procurement activities as required.
- Perform other duties as assigned.
What You Bring to the Role:

- Education:
- Post-secondary education in Business Administration, Office Administration, Travel, Hospitality, or a related field is preferred.
- An equivalent combination of education and relevant experience will be considered.
- Experience:
- Previous experience in office administration, travel coordination, facilities support, or a similar administrative role is preferred.
- Experience coordinating corporate travel, including flights, hotels, approvals, and related travel arrangements, is considered an asset.
- Experience working with vendors, landlords, hotels, airports, or other external service providers is preferred.
- Experience supporting administrative processes such as office access, parking coordination, asset tracking, or record maintenance is considered an asset.
- Experience using travel and booking systems such as Egencia, MYID, Amelia, or similar platforms is considered an asset.
- Previous experience tracking costs, maintaining records, and supporting budget-related administration is preferred.
- Skills & Abilities:
- Excellent organizational skills, with the ability to manage multiple tasks, deadlines, and competing priorities.
- High attention to detail and accuracy when managing travel bookings, records, payments, and administrative processes.
- Clear written and verbal communication skills, with the ability to work effectively with internal stakeholders and external vendors.
- Sound problem-solving skills, with the ability to respond to urgent requests and resolve issues in a timely manner.
- Proficiency in Microsoft Office applications, including Outlook, Word, Excel, and Teams.
- Ability to work independently and take initiative while managing a broad range of administrative responsibilities.
- Customer-focused with a practical, solutions-oriented approach.
- Requirements:
- Clear criminal record check and satisfactory employment references.
- Ability to lift and move items weighing up to 25 lbs, as required.
- Ability to maintain a valid Passport to accommodate work travel.
- Must be legally eligible to work in Canada without restriction.
