The Owen Sound Family Health Team (OSFHT) is committed to improving and maintaining the health of the patients we serve through a team of Nurse Practitioners, Nurses, Pharmacist, Mental Health Services, Occupational Therapist, and Dietitians. Based on local health and community needs, we provide access to innovative, high quality and comprehensive primary health care programs and services that are based on the needs of the patients we serve.
We are seeking an experienced and qualified individual to join our team in the role of Executive Assistant, reporting directly to the Executive Director. This position involves supporting the Executive Director and Management team.
Roles and Responsibilities:
· Provide comprehensive support to the Executive Director and the management team.
· Proactively manage the Executive Director?s schedule, prioritizing urgent matters as well as stakeholder meetings.
· Act as the primary liaison for the Board of Directors.
· Preparing agendas, capturing precise minutes and tracking action items for Board Meetings, Team Meetings and Quality Improvement meetings.
· Draft sensitive correspondence, reports and presentations for the Board of Directors, community partners and Ontario Health.
· Meeting preparation with various stakeholders
· Handling of sensitive HR information, legal documents, and financial data
· Leading of small-scale initiatives such as office moves
· Research and ordering of office supplies
· Event planning of off-site meetings.
Specific Requirements
· Natural problem solver
· Discreet and professional ? able to handle sensitive HR and patient-related information with the utmost confidentiality
· Tech Savvy ? Microsoft 365, Zoom, and comfortable navigating an Electronic Medical Record (EMR) system.
· Health care experience ? an understanding (or eagerness to learn) the nuances of primary care.
Qualifications:
· Bachelor?s degree or equivalent in Office Administration
· 5 years experience in an administrative role within healthcare
· Project management experience
· Excellence in Microsoft 365
· Experience with Ontario Health &/or Ministry of Health
Start Date: As soon as possible
Compensation: $30.89 per hour, benefits, RSP, Paid Education Days, and Paid Personal Leave days
