Estimating Coordinator
About the role
JOB SUMMARY
The Estimating Coordinator provides administrative and project support to the estimating team. This role is responsible for coordinating project documentation, obtaining supplier quotations, maintaining bid schedules, and ensuring estimating information is organized, accurate, and available to support the successful completion of project quotations.
The successful candidate is highly organized, detail-oriented, and capable of managing multiple projects and deadlines in a fast-paced construction environment.

Duties
- Set up and maintain estimating projects, files, and documentation.
- Organize architectural drawings, specifications, addenda, and project revisions.
- Monitor bid invitation opportunities and maintain bid calendars.
- Request and track supplier quotations, ensuring pricing is received before bid deadlines.
- Follow up with vendors and manufacturers regarding outstanding pricing requests.
- Prepare and distribute project documentation to estimators and sales staff.
- Assist in compiling and formatting customer quotations.
- Maintain estimating databases, price lists, supplier contacts, and project records.
- Track project milestones and bid submission deadlines.
- Assist with document control and revision management throughout the estimating process.
- Coordinate communication between estimators, suppliers, sales staff, and customers as required.
- Generate reports and assist management with data collection and analysis.
- Support continuous improvement initiatives within the estimating department.
- Perform other administrative duties as assigned.
- Review project documents for completeness and identify bid dates, submission requirements, addenda, specifications, and drawing packages prior to assignment to an estimator.

- Strong verbal and written communication skills.
- Proficient in Microsoft Office, particularly Excel and Outlook.
- Ability to learn estimating and construction software systems.
- Strong problem-solving and follow-up skills.
- Ability to work independently and as part of a team.
- Construction industry experience considered an asset.
EDUCATION AND EXPERIENCE REQUIRED
- 2-3 years of administrative, project coordination, or construction support experience preferred.
- Experience working in construction, building materials, manufacturing, or distribution is an asset.
- Proficient computer skills including Microsoft Office Suite.
- Experience with project management, estimating, ERP, or construction software is considered an asset.
- Extensive company and product training provided.
