The Proposal and SharePoint Administrator is responsible for supporting Clearway’s Proposals Department with the organization, document control, tracking, formatting, and submission of pursuit-related documentation. This role is focused on RFQs, RFPQs, RFPs, tenders, expressions of interest, prequalification submissions, and other business development opportunities. The Proposal and SharePoint Administrator will ensure pursuit documents are properly downloaded, organized, version-controlled, tracked, reviewed, and submitted in accordance with client requirements and internal proposal procedures. The primary objective of this role is to keep the Proposals Department organized, responsive, and submission-ready by maintaining accurate pursuit records, managing SharePoint pursuit folders, tracking addenda and submission requirements, and supporting the proposal team throughout the pursuit lifecycle.

The Technical Proposal Writer/Coordinator will report directly to the Proposal Manager. Location: Clearway's Head Office – Maple, ON. Hours of Operations: 8:00 am to 5:00 pm

Essential Duties & Responsibilities: The Proposal and SharePoint Administrator will support the Proposals Department by organizing, controlling, tracking, and maintaining pursuit-related documentation for RFQs, RFPQs, RFPs, tenders, prequalifications, expressions of interest, and other business development opportunities. Responsibilities include downloading and filing procurement documents, addenda, drawings, specifications, forms, client communications, and submission requirements; setting up and maintaining pursuit-specific SharePoint folders; ensuring documents are properly named, version-controlled, current, and accessible to the proposal team; and maintaining proposal records, registers, addenda logs, compliance trackers, and submission checklists. The role will support proposal preparation and submission by assisting with formatting, compiling, packaging, printing, uploading, and submitting proposal documents in accordance with client requirements. This includes helping prepare submission folders, appendices, forms, resumes, project sheets, corporate documents, bonding and insurance documents, safety information, and other required attachments, while supporting final quality checks for completeness, consistency, formatting, signatures, file naming, PDF quality, and upload readiness. The Proposal and SharePoint Administrator will also assist with pursuit tracking, proposal calendars, portal monitoring, deadline tracking, meeting coordination, action logs, internal follow-ups, and communication with proposal team members, estimators, technical staff, project teams, subcontractors, consultants, and other contributors. The role will maintain organized SharePoint workspaces for active pursuits, archived pursuits, templates, resumes, project profiles, graphics, forms, company information, certifications, and reusable proposal content. Additional responsibilities include archiving completed pursuits, maintaining historical proposal records, tracking pursuit outcomes and lessons learned, supporting the improvement of proposal administration procedures, SharePoint filing standards, templates, checklists, and workflows, and ensuring confidential and commercially sensitive pursuit information is handled professionally and securely. The role will help keep the Proposals Department organized, responsive, compliant, and submission-ready by ensuring proposal information is accurate, accessible, well-controlled, and consistently maintained.

Requirements: Post-secondary education in Business Administration, Office Administration, Records Management, Construction Administration, Communications, or a related field is preferred. Minimum 2 to 5 years of experience in administration, document control, proposal coordination, SharePoint management, construction administration, or a similar role. Experience supporting RFQs, RFPQs, RFPs, tenders, prequalifications, or proposal submissions is considered a strong asset. Experience in construction, engineering, infrastructure, heavy civil, consulting, or project-based environments is considered an asset. Strong working knowledge of Microsoft Office, including Word, Excel, Outlook, PowerPoint, and Teams. Strong experience with SharePoint, OneDrive, Microsoft Teams, document libraries, permissions, file sharing, version control, and digital folder management. Experience using procurement portals, bidding platforms, electronic submission systems, or construction document management platforms is considered an asset. Strong organizational skills with the ability to manage multiple pursuits, large volumes of documents, and competing deadlines. Excellent attention to detail and ability to maintain accurate, consistent, and well-organized records. Strong written and verbal communication skills. Ability to work independently while supporting a fast-paced proposal team. Ability to handle confidential and commercially sensitive information with professionalism and discretion. Experience formatting, compiling, proofreading, and submitting proposal documents is considered an asset.
