Position Description:

The HSE Administrator (Project Safety Assistant) provides administrative and coordination support to ensure the effective implementation and documentation of Health, Safety, and Environment (HSE) programs on construction projects. This role supports field and leadership teams by maintaining records, coordinating safety processes, and enabling compliance with regulatory and company requirements.

The position will initially be based out of our main office in Edmonton, Alberta, with the role later shifting to a project site located near Fort Saskatchewan, Alberta.

Reports to: Project HSE Systems Lead

Essential Duties & Key Responsibilities:

  • Act as the main point of contact on all HSE training related inquiries
  • Manage project level billing for all HSE training
  • Receive, process, and provide ongoing support for HSE training requests delivered on-line, in-house and through third party vendors
  • Oversee training data collection and maintenance for both new and existing employees to ensure accuracy, consistency, and timely entry of training documents into tracking systems
  • Monitor compliance-based training reports as required by key stakeholders within the business
  • Prepare and present training status updates as required
  • Assist in the development, maintenance, and facilitation of internal training course materials
  • Prepare attendance sheets, program certificates, and other participant materials as required
  • Maintain and organize project-specific HSE documentation, including plans, permits, inspections, and reports
  • Support the Project HSE Systems Lead in the maintenance and enhancement of the online HSE management project system database
  • Engage in the research and delivery of customized training solutions
  • Assist the Project HSE Systems Lead, Project Management, Injured Workers, and Workforce Managers to actively manage injury claims records
  • Coordination with booking appointments at appropriate medical facilities
  • Assist with tracking injury data and generating performance statistics reports across the business
  • Assist with the execution of the modified work and return to work programs, and maintain all modified work-related records
  • Support HSE meetings through the organization of calendar events, meeting preparation and meeting minutes
  • Assist with administration of drug screening program (e.g., pre-employment, post-accident, random, cause) in alignment with company and project owner requirements.
  • Assist with conducting effective worker orientation program for new employees; administer and record participation.
  • Assist with gathering Pre-Task Plans (PTPs) and Job Hazard Analyses (JHAs) for project contractors based on contractual requirements.
  • Assist with maintaining safety records (e.g., PTPs, JHAs, training records, tool box meetings, Material data Safety Sheets (MSDS) and chemical inventory sheets, incident investigations and metrics).
  • Assist with Safety meetings, record and issue meeting minutes as directed by supervisor.
  • Support the HSE Systems Lead with respect to other administrative duties as required

Qualifications:

  • High School Diploma is required
  • 1+ years of experience in administrative or HSE support roles (construction experience preferred)
  • Completion of OHS Diploma or related post-secondary education in health and safety is considered a strong asset
  • Health and Safety Administration (HSA) designation is an asset
  • Basic knowledge of safety/environmental principles and techniques
  • Demonstrate elements of leadership from within, teamwork, and interpersonal skills to build professional relationships
  • Professional verbal and written communication skills
  • Ability to take direction and follow through with commitments
  • Exceptional organizational skills with high attention to detail
  • Analytical thinking, good judgment, and problem-solving skills
  • Proficient computer and data entry skills, Microsoft Office suite of applications, and collaboration tools
  • Limited travel may be required, and access to reliable transportation required
