We're seeking a Senior Administrative Assistant , reporting to the Managing Director and Head of Private Investment and Enterprise Risk, to be an active member of the team, supporting our senior leaders and initiatives by collaborating with internal colleagues and external contacts. As a Senior Administrative Assistant , you'll:


  • Support Team head and coordinate all activities according to priorities such as agenda and calendar management, day to day operations coordination and communications with various stakeholders

  • Act as primary contact for external communications, this includes external organizations, coordination for speaking engagements, submissions, industry knowledge sharing and building on and increasing external reach

  • Implement and maintain reminder system for Board calendar, procedures and policies amongst other key documents

  • Proactively suggest ways to increase efficiencies and better use support tools (shared drives, collaboration tools, vacation calendars etc.)

  • Plan and coordinate internal and external meetings (emerging risks working group, peer meetings, committees, etc.)

  • Prepare documents and material for meetings

  • Act as main point for compliance with corporate requirements such as minimum holiday requirements and compliance processes

  • Assist in planning of travels, training or conferences and associated expenses

  • Ensure quality and consistency in documents for senior management committees and Board: assist in proofreading and formatting of Board documents (e.g. pre-trade or our sections of EMR)

  • Create and format memos and PowerPoints while maintaining library of core documents

Private Investments

  • Collect all finalized rating reviews, post-trade and Financial Institutions documents from team and prepare Risk Investment Committee (''RIC'') consent agenda, coordinating with Chief Financial and Risk Officer's executive assistant for RIC consent and rating changes

  • Gather and send applicable meetings notes to Chief Legal and Chief Financial and Risk Officers

  • Liaise with the Credit Investment team's assistant to coordinate availability and timing for New York Committees

  • Ensure document management and retention for all deal approbation for documents (e.g. syndicated co-investments or VC opportunities)

  • Update internal database platform with finalized documents or add new investments when funded Update alert lists (e.g. Moody's, S&P, Fitch) for new investments or disposals


  • Experience in a similar position, preferably in a financial or professional environment

  • Advanced knowledge of Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams, OneDrive) and the interest and capacity to learn and adapt to new technologies and tools

  • Excellent communications skills both written and spoken in English and French

  • Excellent team approach and high degree of flexibility to respond in a timely and positive manner to unexpected or urgent requests

  • Effective communicator and confident to interact with colleagues of all levels and ability to represent Senior Leaders in a professional manner

  • Aptitude for processing amounts of detailed information with great accuracy and attention to detail by using specific approaches and tools for checking outputs

  • Ability to handle sensitive and confidential information with the highest level of professionalism, discretion and good judgement

  • Demonstrates sound business acumen and understanding of group objectives and timeframes, ability to support team leaders

  • Capable of navigating in a fast-paced environment by displaying a high level of proactiveness, agility and accountability in meeting deadlines

  • Excellent ability to prioritize and multitask a wide range of concurrent responsibilities and tasks to support management

  • Aptitude for working in collaborative team environments with a focus on maturity, proactive communication, relationship building skills and resiliency

  • Ability to build and maintain a robust network
