The Order of Franciscan Friars Minor of Canada is a Roman Catholic religious community dedicated to living according to the values of St. Francis of Assisi: simplicity, compassion, service and respect for all creation. We are currently seeking a Provincial Secretary with solid experience to help us fulfill our mission and ensure the smooth running of daily activities of our Montreal office. This is a full-time position, five days a week, 35 to 40 hours per week.

Functions and responsibilities

  • The Provincial Secretary is responsible for taking minutes of all meetings of the Provincial Council
  • He/she works closely with the Provincial Minister in preparing the meetings of the Provincial Council (agenda, related documents, convocations, etc.)
  • Handles correspondence with dioceses, the Order's General Curia and government bodies
  • Conducts internal communications (with brothers, monthly bulletin, etc.) under the supervision of the Provincial Minister
  • Safeguards the archives of the Provincial Secretariate
  • Draws up the Acts of the Provincial Chapter and Capitulary Congress for elections and appointments
  • Maintains relationships necessary to perform his/her functions with the Order's General Curia, other Franciscan Provinces, House Guardians, committees and services, diocesan chancelleries and the general public
  • Consults external legal counsel on various points of law when requiring clarifications
  • Occasionally represents the Province in dealings with religious communities, various organizations or groups
  • Depending on needs and requests, the Provincial Secretary may take on special projects, sit on committees or help organize events

Skills and competencies required

  • Minimum 10 years of experience in a senior management position
  • Excellent French and English, both spoken and written, is essential
  • Ability to exercise absolute discretion in handling private and confidential information
  • Proven oral and written communication skills, with ability to interact with all levels of internal and external clients
  • Strong capacity to prioritize and manage time effectively
  • Proficiency in Microsoft Office (Outlook, Word, Excel) and various IT applications and tools
  • Versatility, flexibility, autonomy, attention to detail and open-mindedness are also important traits in this position
  • Knowledge of religious communities, religion and canon law is an asset

The Provincial Secretary reports directly to the Provincial Minister and must be available for occasional travel within Canada.
