Temporary position lasting two weeks, with the possibility of extension following the internship

As an Administrative Assistant Intern for the Fall session within the Vice Presidency of Products, Solutions, and Digital, you will contribute to various administrative activities within your sector. Your role is to support the management team and provide the necessary administrative and secretarial support. When needed, you will also provide administrative support to other resources within your unit. You will help coordinate, plan, and prioritize management activities. This position involves interaction with numerous stakeholders.

Specifically, you will:

  • Support the management team in managing and tracking their agendas

  • Perform various secretarial tasks, including drafting, formatting, updating, producing, and proofreading documents from different departments

  • Carry out administrative tasks related to internal management (e.g., tracking requests, handling billing, etc.)

  • Manage documents and update records (filing, access control, circulation, archiving, etc.)

  • Prepare for and attend various meetings, especially management committee meetings. Draft meeting minutes, notes, and ensure follow-ups

  • Assist with the logistics of different events (team meetings, committees, workshops, travel, webinars, engagement activities, etc.)

  • Support team members in finding information, navigating operational processes, and using information systems

  • Collaborate with administrative assistants within the Vice Presidency

What you'll bring to the table:

  • A Diploma of Vocational Studies (DEP) in Secretarial Studies

  • Other relevant education and experience combinations may be considered

  • Proficiency in French is required

  • Intermediate to advanced knowledge of Microsoft Office 365

  • Key competencies: Effective communication, tech-savviness, interpersonal skills, planning and coordination
