We are looking for an Executive Assistant to join our Business Development and Client Partnerships team. You will provide comprehensive and quality administrative support services to the Executive Vice-President, Business Development and Client Partnerships. The Vice-President manages over 25 employees across four teams: Business Development, Client Partnerships, Marketing and Product Development.

What you will do

You will be expected to interact with many stakeholders and support the firm's dynamic and inclusive service offerings. The responsibilities include taking initiative and showing ingenuity to meet the needs of the Vice-President.

  • You manage the Vice-President's schedule by organizing tasks and establishing her priorities, such as: meetings, invitations, special requests, and client events;
  • You coordinate the Vice-President's paperwork for board, executive committee, and team meetings;
  • You prepare business travel engagements as well as expense reports;
  • You coordinate the essential aspects of various deliverables with a proactive and practical approach, which includes reporting, presentations, correspondence management, as well as any other tasks that may support the Vice-President;
  • You participate in the organization of events, both internally and externally, in collaboration with various stakeholders;
  • You provide administrative support, such as reviewing, drafting, and translating documents and press releases, updating files, and any other administrative requests;
  • You maintain professional relationships with various business partners and clients;
  • You provide a high-quality administrative support to team members.

Your profile

  • You have a college diploma in office administration or a related field;
  • You have more than ten (10) years' experience in a similar role;
  • You have excellent knowledge of Microsoft Office Suite, including Outlook, Word, and PowerPoint;
  • Your interpersonal skills and customer-oriented approach allow you to maintain excellent relationships with various stakeholders;
  • You have excellent written and verbal communication skills (both in English and in French);
  • You demonstrate a high degree of excellence, enjoy taking on challenges, and are result-driven;
  • You have the ability to treat confidential information with discretion and demonstrate a high level of service and responsiveness to clients;
  • You take a proactive approach to problem solving and have excellent decision-making skills;
  • You are organized and adept at multitasking;
  • You enjoy working in a team and are open-minded, especially towards finding common goals;
  • You have excellent time management skills and work well within tight deadlines.
