This position is in charge of performing administrative duties including but not limited to the maintenance of various documents, assisting in the establishment of efficient databases, providing quality customer service, and supporting management by establishing workflow and coordinating agendas.


  • Perform tasks related to purchasing for Marketing & Communications, particularly the creation of purchase orders and the processing of invoices

  • Maintain an updated database of contracts and advise managers on best practices related to contracts, particularly for consultant and contingent workers

  • Organize complex meetings (e.g. multiple stakeholders, time zone differences, external guests, staffing interviews, etc.)

  • Support the Executive Assistant, including making IT and office services-related requests

  • Support onboarding of new employees, including scheduling orientation meetings and distributing reference materials (e.g. service offering, org charts, yearly marketing plan)

  • Coordinate certain details of speaking opportunities and writing projects including logistics and creation of briefs

  • Complete data entry in certain platforms (e.g. EPM)

  • Create and review expense reports for management team

  • Coordinate the reservation and distribution of corporate event tickets for head office


  • Two or three years of experience relevant to the Bank

  • Vocational or college diploma (DEP or DEC) in office techniques

  • Excellent knowledge of Microsoft Office (Word, Excel, Powerpoint)

  • Excellent administrative and organizational skills

  • Good time management / Priority setting 

  • Customer service focus

  • Excellent written and communication skills

  • Tact, diplomacy and discretion

  • Ability to work independently and under pressure

  • Creativity/Dependability

  • Team player

  • Bilingualism in both official languages is required
