The administrative assistant is responsible for managing and distributing information within the office. This includes answering phones, maintaining files, sending and receiving correspondence, as well as greeting clients and customers. To ensure the efficient day-to-day operation of the reception area and support the management and other senior in their daily work. To provide HR support to management team and to be the point of contact and maintain the relationship with our partners.


  • Professionally administer all incoming calls
  • Data entry into computer systems
  • Act as the resource person between the various sites (national and international)
  • Greet guests in a professional, friendly, hospitable manner
  • Coordinate the distribution of all incoming/outgoing mail, couriers and deliveries on a daily basis
  • Provide daily administrative support and assistance to all staff when required
  • Monitor, maintain and administer supplies inventory on a weekly basis
  • Administrative assistance for Business Travel Management (air travel, lodging, car rental, etc.)
  • Managing expense reports as required
  • Assist in organizing corporate and social events, as required
  • Coordinate the onboarding process
  • Conduct and drive the interviews with the management team
  • Implement retention strategies
  • Plan and lead evaluation meetings with the management team


Requirements

Requirements


  • DEC in administration or the equivalent
  • Knowledge of HR Procedures, an asset
  • 1-5 years of experience in general administration and/or human resource or experience in similar position
  • Attention to detail and responsiveness to customer and staff needs in a courteous and proactive manner
  • High experience in utilizing the MS Office suite of software and MS Outlook.
  • Bilingual, english and french, spoken and written
  • People oriented
  • Strong organizational skills
  • Multitasking skills and resourcefulness
