Executive Assistant

A skilled communicator and relationship builder who's an experienced Executive Assistant will excel in this temporary, full-time position – at our St. Catharines Site – as part of Niagara Health's Corporate Nursing Administration Department.

Reporting to the EVP – Finance, Operations & Chief Financial Officer, and the Chief Information Officer, you'll demonstrate your sound judgement and independence as you provide confidential, complex administrative support while establishing and maintaining credible, effective working relationships with internal and external contacts, executives, and management team members. This will include supporting two board committees, attending meetings, maintaining electronic calendars, making arrangements for travel and conference registrations, greeting and assisting employees, guests and patients, performing data entry, and generating and printing reports and other communications, as needed.

As an Executive Assistant, you must be prepared to carry out any additional daily activities required to accommodate evening and early morning meetings, as well as demonstrate the positive attitude and superior communication skills needed to maintain Niagara Health's core values.

To join our dynamic team as an Executive Assistant, you must be a proven office administrator whose knowledge base and skill set include:

  • A community college diploma specializing in Office Administration or equivalent
  • A minimum of three (3) years' administrative experience in an executive-level administrative role, including acting as the point of contact for board committees, or an equivalent combination of education, training and experience
  • Work experience in a unionized hospital setting, an asset
  • Demonstrated ability to handle a large, diversified workload with often rapidly changing priorities and challenging deadlines
  • Demonstrated proficiency in minute-taking and transcription
  • Ability to assist with special event management, preparation of reports and presentations
  • Demonstrated commitment to continuing education
  • Working knowledge of Microsoft Office programs
  • Evidence of effective organizational, interpersonal, communication, judgment, decision-making and conflict-resolution skills
  • Ability to work effectively within a multi-disciplinary team
  • Flexibility, self-direction and ability to work proficiently with minimal supervision
  • Ability to deal comfortably with community stakeholders and the public, and triage complaints
  • Ability to maintain consistent, regular attendance
  • Proficiency in both official languages (English and French), an asset.
