Position Summary

Reporting to the Quality Assurance Manager, the Document Control Clerk is responsible for managing and controlling PNRs documents by ensuring its accuracy, quality, and integrity.

Primary/Essential Responsibilities and Duties

  • Assists the Document Control Specialist with the be responsible for effective storage, management, and tracking of company documents.
  • Organize and maintain up to date and readily available documents.
  • Archive inactive records in accordance with RailWorks Document Retention Guidelines.
  • Manage documents and records retrieval process.
  • Working in association with the Document Control Specialist to Receive and process, Plans, Requests for Information (RFI), Transmittals and other project related documents internally and externally while tracking it.
  • Assist the Document Control Specialist in maintaining project related documentation such as meeting minutes, drawings, specifications, and approvals.
  • Adhere to company policies and procedures regarding documentation retention, retrieval, and destruction.
  • Supports ISO 9001 compliance through document management and control.
  • Assist with file migrations to guarantee document integrity.
  • Perform administrative tasks, as needed.
  • This position will work closely with the Quality Assurance and Operations, to ensure the company’s commitment to the Quality compliance requirements of the operation are being fulfilled.
  • Responsible for gathering information form operation groups for data analysis
  • Work with operation groups and process their request for creating, updating and distributing/publishing documents on time

Required Skills and Qualifications

  • Completion of Grade 12 or equivalent.
  • A minimum of 1-2 years of related experience in document control preferably in the construction or engineering industry.
  • Quality Auditor Certification would be considered an asset.
  • Strong organizational skills.
  • Effective communication skills.
  • Ability to work independently, and being highly-motivated
  • Ability to work in a fast-paced and deadline driven atmosphere. Ability to prioritize and manage time well
  • Computer savvy and well versed with Microsoft Office suite of products, Adobe Acrobat, Microsoft SharePoint, and other applications related to document control.
  • Ability to work effectively in a team environment as a contributing and essential team player.
  • Ability to exercise sound judgment.
  • Strong attention to detail.
  • Dependable and trustworthy.

Physical Requirements and Working Conditions

  • Standing and walking around the office.
  • Sits, reads, writes and uses a keyboard.
