PURPOSE

The Lease Documentation Specialist, Retail is accountable to the Manager, Retail Lease Documentation for supporting the activities aimed at protection of interests of the company and its clients against risks associated with lease documentation by participating in the process of preparation, negotiation, revision and finalization of various lease and lease related documentation.

DUTIES AND RESPONSIBILITIES

Preparation and Review of Lease Documentation

Under the supervision of the Manager, Retail Lease Documentation , drafts, revises, negotiates and finalizes lease and lease related agreements working in collaboration with external contacts such as tenants and/or tenant representatives, soliciting input, where required, from senior lease administration staff and internal/external legal counsel to ensure the lease documentation reflects the leasing intent and lease documentation related risks are minimized. Drafts offers to lease in collaboration with the leasing team and asset managers.

Documentation Related Services

Under the supervision of the Manager, Retail Lease Documentation, reviews and provides feedback for offers to lease and letters of intent, as required, to ensure consistency of lease documentation and minimization of risks related to the conflict between a leasing intent and wording used in lease documents.

Lease Due Diligence

Under the supervision of the Manager, Retail Lease Documentation , prepares estoppel certificates, as required, and follows up with tenants to ensure maximum number of certificates are received. For transaction due diligence, as required, contributes current tenant documentation to online data room.

Lease Documentation Reporting

Maintaining updated reports in contract management software to be used by Retail Leasing, Lease Integrity and other internal groups. Participates in weekly team meetings and various training sessions.

Any other job-related duties and/or projects that may be assigned.

MINIMUM REQUIREMENTS

Skills, Knowledge, Experience and Education

  • Graduation from paralegal or law clerk program or equivalent experience an asset
  • Minimum 2-5 years of practical experience in retail real estate industry
  • Sound knowledge of a commercial lease
  • Good knowledge of retail industry and shopping center environment
  • Proficient in MS Office applications, Sharepoint, Yardi, IntelAgree and information technology platforms
  • Willingness to learn and grow in the role, with a view to drafting and finalizing ancillary lease agreements independently
