Description

An essential member of the Community and Family Services team, the receptionist is the first point of contact for people accessing services. Working within a fast-paced environment, the incumbent will respond to inquiries from the general public, visitors, and other interested parties regarding activities conducted at Kingston Citadel Community and Family Services.

The Salvation Army Kingston Citadel Community and Family Services has been providing hands-on programs and services to the Kingston community for over 70 years. Our mandate is to provide holistic, compassionate responses to individuals and families requiring our services. Programs and services include a food pantry, income tax clinic, housing help programs, supervised parent and child visitation, community-based, and seasonal programming.

KEY RESPONSIBILITIES:

Communication/Direct Client Service

  • Answer, screen or forward calls or messages; provide information and schedule appointments
  • Collect, sort, distribute, or prepare mail, messages, or courier deliveries
  • Greet persons entering establishment, determine nature and purpose of visit, and direct or escort them to specific destinations
  • Provide information about establishment, such as location of departments or offices, employees within the organization, or services provided
  • Maintain Link2Feed System, entering client information and generating reports

Administrative

  • Type and/or file correspondence as required
  • Complete and distribute staff meeting minutes
  • Receive and record monetary donations
  • Prepare and mail out letter of thanks and appreciation
  • Assist with Bank deposits
  • Provide administrative support to the various programs under Community and Family Services

Perform other duties as required.

WORKING CONDITIONS:

  • This is a permanent full-time position working 35 hours per week
  • The Supervisor will set the hours of work and work schedule
  • Attend/participate in staff meetings as required
  • Working environment is typically in the office in generally agreeable conditions
  • Ability to lift/move up to 30 pounds for set up and dismantling program rooms
  • This job requires sitting, reaching, bending and carrying
  • Travel is associated with this position (5%).

QUALIFICATIONS AND EDUCATION REQUIREMENTS:

  • Business Administration certificate and a minimum of one (1) year of prior related experience working in community-based programs would be a definite asset
  • First Aid & CPR and Non-Violent Crisis Intervention Certification would be an asset
  • Valid Ontario Class "G" Driver's License, personal vehicle required and insurance, current copy of driver's abstract that is satisfactory to The Salvation Army, in its sole discretion, is required
  • Alternative combinations of education and experience may be considered

EXPERIENCE AND KNOWLEDGE:

  • Minimum one year's experience working in social service setting

SKILLS AND CAPABILITIES:

  • Bilingual in English and French preferred
  • Solid understanding of the issues surrounding housing, homelessness and marginalized populations
  • Ability to multi-task in a fast-paced environment
  • Strong verbal and written communication skills
  • Attention to detail, problem solving and analytical skills
  • Good organizational and interpersonal skills
  • Able to work independently as well as cooperatively in a team setting
  • Represent the organization in a professional and engaging manner
  • Proficient with email and internet-based programs and solid computer technical knowledge
  • Ability to accept direction when required
  • Maintain confidentiality
  • Understanding and knowledge of community resources an asset
  • Work in compliance with OH&S Act and Regulations and abide by The Salvation Army's health and procedures.
  • Ability to undergo applicable screening and background checks successfully that are satisfactory to The Salvation Army, in its sole discretion (i.e., The Salvation Army Abuse Registry) and provide an original copy of a Background Check screening
  • Ability and willingness to develop an understanding and support for the mission and purpose of The Salvation Army in Canada and its implications as related to position responsibilities
