If you answered yes, our Whiteshell Laboratories (WL) site located near Pinawa, Manitoba is looking for an Administrative Assistant. The Administrative Assistant provides support to the Executive Administrative Assistant and the Whiteshell Laboratories Restoration Project (WLRP) General Manager (GM) Office. This position provides essential support to WL GM Office in the areas of office administration, site communications, meeting coordination and contractual tracking and reporting. What will you be doing?

Coordinating the workflow of department manager/line director:
• Managing scheduling of meetings and appointments.
• Coordinating meetings, such as booking rooms, sending invites, ordering catering.
• Preparing correspondence, minutes, action lists, and prioritizing commitments.
• Tracking and following-up on actions placed on GM Office and other division staff.
• Acting as liaison between GM Office Executives and Senior Leadership team and all other division staff.
• Organizing events such as division seminars, workshops and international conferences.
• Arranging/coordinating travel.
• Maintaining accurate office records and files/follow-up system for outstanding issue.

Ensuring reports meet CNL standards:
• Adhering to CNL's corporate document standards and rules (formats, storage and numbering protocols).
• Working with various groups both within and outside of the departments to ensure reporting requirements are met.
• Reviewing and updating documents (formal documents, presentations, spreadsheets) to ensure format requirements are met.
• Communicating objectives, directives, policies/procedures, and general information to staff, and ensure quality of cross-functional administrative processes.
• Providing status updates and supporting documentation for various scorecard/project reporting.

Assisting management with protected sensitive Human Resource / Financial requirements:
• Handling sensitive and confidential information pertaining to all levels of Departmental and/or Divisional staff.
• Working with the GM Office to assist in preparation of promotion cases.
• Coordinating meetings and gathering data from managers for various HR processes, such as performance management cycle, and succession planning.
• Assisting in the budget process (reporting forecasts, submissions to Finance).
• Coordinating smaller scale business support projects or providing administrative support to larger projects.

Additional Functions:
• Tracking and ordering supplies.
• Photocopying/printing.
• Submitting maintenance/IT requests.
• Submitting expense reports.

• Make basic recommendations, such as ordering office supplies, reviewing travel request and expense claims for accuracy and adherence to company policies.
• Prioritize and exercise good judgement in situations where facing conflicting priorities.
• Respond to situations where risk to work/deadlines/etc. have immediate repercussions and able to escalate priorities accordingly.
• Work under pressure and adhere to strict deadlines and confidentiality.

Experience
• Minimum of 7 years' experience in an administrative role, or the equivalent.
• Proficiency in MS Office with expertise in Microsoft Word, Excel, PowerPoint, Visio and Outlook.

Education
• Secondary School Graduation
• Post-secondary training in Office/ Business Administration or similar field.

Security Eligibility Requirement

· Level 2 Secret which has a minimum requirement of 7 years of verifiable history in Canada, Australia, New Zealand, United States and/or the United Kingdom. CNL implements security screening in accordance with the Treasury Board of Canada Secretariat's "Standard on Security Screening" and the "Policy on Government Security."

Working Conditions
• Majority of duties involve screen time, typing and sitting for extended periods of time.
