Job Summary

The clinical receptionist part time for 3 days a week (preferably Monday, Tuesday and Thursday). With potential to be full time.

The clinical receptionist acts as a receptionist for the Respiratory Clinic, answering and routing phone calls and receiving patients. The position is also responsible for arranging tests, retrieving and filing test results, scheduling patient appointments, and photocopies, mails and files consult letters for specified doctors.


Organizational Status
Reporting to the Clinic Manager with additional direction from the Medical Director. The position works directly with another clinical office assistant, technician and an asthma educator. The position schedules appointments and receives calls for 28 physicians and an asthma educator. Some tasks may be delegated by these people, although no supervision is given by them.

Work Performed

The major responsibilities of this position include:

  • Receives patients and visitors in person or by phone.

  • Handles incoming phone calls by screening, assessing and routing calls and answering inquiries when appropriate

  • Schedules and remind patients of their appointments

  • Books tests for clinic patients

  • Retrieves test results via CareConnect

  • Scan documents into EMR

  • Mailing/faxing of results, pharmacy request and other clinic letters

  • Orders, receives and returns x-ray, CT and MRI films

  • Puts information onto the grid so x-ray results can be reviewed by physicians

  • Sorts mail and faxes received by paper and eFax.

  • Checks and prepares charts prior to patient arrival.

  • Maintains office supplies.

  • Photocopies, mails and files consult letters for specified doctors

  • Maintains patient database and ensures statistics are accurately maintained.

  • Screens patients for any sickness for COVID-19.

  • Knows how to maintain personal working profile on UBC Workday

  • Provides clerical support for the walk-in laboratory including: typing up physician interpretations, faxing reports and billing for procedures.


Consequence of Error/Judgement

The office assistant is required to ensure patient files are complete with recent test results, in order to ensure that physicians have all information necessary in making clinical decisions.


Supervision Received
The office assistant is required to exercise some initiative and judgment in establishing priorities and carrying tasks through to completion. New or unusual problems are referred to the Clinic Manager. The position is supervised by the Clinic Manager.

Supervision Given
No daily supervision is given, but the office assistant may train new staff on office and billing procedures.

Minimum Qualifications
High school graduation, plus completion of a Medical or Dental Office Assistant program (including terminology), plus one year of related experience, or an equivalent combination of education and experience.

Preferred Qualifications

Completion of Medical Office Assistant program and three years of related experience. Computer skills required MS Office, Access, Excel and MSP billing. Ability to type 40 wpm and to operate a normal range of office equipment. Ability to work effectively under pressure, maintain accuracy and attention to detail. Excellent interpersonal and communication skills are required. Ability to work both independently and within a team environment. Ability to exercise tact, discretion and confidentiality.

WORKING CONDITIONS:

The office assistant will work in a clinical office, with computerized equipment. There is a natural light source and overhead lighting.
