WhiteWater West is seeking an Office Manager/Executive Assistant to join our Corporate team at our Richmond head office. This is an exciting role for a confident, skilled and proactive team player. You will handle information that may be highly confidential and be asked to lead efforts around continuous improvement and facilities management.


  • Maximizes executives time through highly effective agenda management and gatekeeping of key priorities while work closely with the stakeholders to optimize priorities and deadlines
  • Partner with the Executive Committee to have all relevant documentation and background information required for attendance at meetings, presentations and events.
  • Establish and maintain Executive Committee, and other regularly scheduled meetings with appropriate agendas, minutes, action items and follow-up.
  • Provide critical administrative support to the Executive Committee
  • Ensure the office is well managed on all fronts, from key supplier relationships to supporting property management and building security
  • Develop relationships with local service companies to provide the appropriate support to visitors and employees, alike (catering, accommodation, and other like services).
  • Ensure good teamwork among office administrative team, which includes managing the Office Administrator.
  • Ensure company values and initiatives are communicated consistently and integrated throughout the organization.
  • Support the onboarding process for new hires.


  • 5-10 years of experience in an office environment, either in managing an office or providing executive support to senior management, preferably at the C-suite level, in a fast-paced and complex organization.
  • Minimum 2 years of leadership experience; overseeing office management.
  • Exceptional interpersonal skills with the ability to develop and maintain effective internal and external working relationships with all levels in the organization.
  • Proven ability to project and maintain a professional image to clients, vendors and fellow employees.
  • Proven listening and negotiation skills.
  • Strong attention to detail and analytical skills.
  • Excellent time management, organizational and priority defining skills.
  • Proven experience to navigate effectively in an organization with international offices.
  • Advanced computer skills; proficient MS Office and Excel; knowledge of SharePoint and Project is an asset.
  • Hands-on, roll-up your sleeves, and get the job done attitude.
  • Ability to work independently and as a team member.
  • Identifies as a self-starter and energetic.
  • Must be legally eligible to work in Canada.
