Job summary
Position Summary We are seeking a highly organized, professional, and customer-focused Office Manager to oversee the day-to-day operations. The successful candidate will play a key role in ensuring the office runs efficiently and provides exceptional support to employees, management, visitors, and vendors. The ideal candidate is a proactive team player with strong communication skills, excellent attention to detail, and the ability to manage multiple priorities in a fast-paced environment. Key Responsibilities Office Administration Order and maintain office supplies, coffee, kitchen supplies, and other office necessities. Monitor inventory levels and ensure timely replenishment of supplies. Coordinate with vendors and service providers as required. Maintain a clean, organized, and professional office environment. Employee Support Coordinate the ordering, setup, and distribution of office transponders/access devices. Arrange cell phone setup and onboarding requirements for new employees in coordination with the IT department. Assist with new employee onboarding and office orientation. Provide administrative support to management and staff as needed. Meeting & Event Coordination Schedule and manage boardroom bookings. Organize and coordinate virtual meetings using Microsoft Teams, Zoom, or other platforms. Prepare meeting rooms and ensure technology is ready prior to meetings. Assist with office events, employee meetings, and special functions. Customer Service & Communication Serve as a professional first point of contact for visitors, clients, and employees. Respond to inquiries in a courteous and timely manner. Foster positive working relationships with employees, vendors, and external contacts. Support a collaborative and welcoming office culture. Qualifications & Skills Required Skills Proficiency with Microsoft Office Suite, including: Outlook Excel Word Teams Strong administrative and organizational skills. Excellent verbal and written communication skills. Outstanding customer service and interpersonal skills. Ability to prioritize tasks and manage multiple deadlines. Strong attention to detail and problem-solving abilities. Personal Attributes Professional, courteous, and well-mannered. Friendly and approachable demeanor. Reliable and dependable. Strong team player with a positive attitude. Self-motivated and capable of working independently. Ability to maintain confidentiality and professionalism at all times. Preferred Qualifications Previous experience as an Office Manager, Administrative Coordinator, Executive Assistant, or similar role. Experience coordinating office facilities, vendors, and employee onboarding. Familiarity with office access systems and telecommunications setup.
