City : Vancouver State : British Columbia (CA-BC) Country : Canada (CA) Requisition Number : 47189 A Day in the Life: As an Administrative Assistant, you are the backbone of day-to-day office operations, providing critical administrative and organizational support to leaders and teams across the business. From coordinating schedules and arranging travel to preparing reports and managing office processes, you help ensure work flows efficiently and professionally. Your ability to stay organized, communicate effectively, and support multiple priorities contributes directly to a productive and well-run workplace. What You'll Be Doing: Serve as the first point of contact for incoming calls and visitors, responding to routine inquiries and directing requests as appropriate. Manage and coordinate appointment calendars for managers and team members. Prepare and distribute meeting agendas, coordinate meeting logistics, and support meeting administration. Arrange business travel, accommodations, and related logistics. Prepare, edit, and format documents, reports, spreadsheets, presentations, and correspondence. Maintain filing systems and records in accordance with company retention requirements. Order and manage office supplies to support efficient office operations. Receive, sort, and distribute incoming and outgoing correspondence. Support accounts payable processes, including invoice submission, voucher preparation, and purchase card reconciliation. Maintain office equipment and assist with general office administration activities. Skills/Experience Requirements: Minimum of three (3) years of related administrative or office support experience. High school diploma (Grade 12) or equivalent required. Administrative/Business Office Certificate or Certificate in Administration preferred. Strong proficiency with Microsoft Office applications, including Word, Excel, Outlook, PowerPoint, and database systems. Excellent interpersonal, written, and verbal communication skills. Proven ability to work effectively in a collaborative team environment. Strong organizational skills with the ability to prioritize tasks, manage multiple deadlines, and maintain attention to detail. Ability to handle confidential information with professionalism and discretion.
