Job summary
Artifact Group is seeking a highly organized, discreet and proactive professional to support its ownership team. This role is dedicated to assisting the owners with both business and personal administrative matters, separate from hotel operations. We’re looking for someone who takes pride in moving things forward and delivering results. Key Responsibilities Manage inboxes, including organizing, prioritizing and following up on incoming emails and communications. Manage calendars and meetings, including coordinating schedules and resolving conflicts. Coordinate business and personal travel, including domestic and international arrangements. Support awards submissions, including research, coordination and deadline management. Coordinate press-related requests and communications, as required. Facilitate office communications with internal teams, partners and external contacts. Research vendors, obtain information and quotes, and coordinate outreach and follow-up. Support the planning and coordination of Artifact quarterly and seasonal events. Coordinate the shipping and receiving of packages, documents and materials. Support internal initiatives and special projects, ensuring priorities, deadlines and follow-ups are managed effectively. Prepare and review correspondence, presentations, documents and other communications. Handle sensitive and confidential information with a high level of discretion. Anticipate needs, manage changing priorities and respond effectively to last-minute requests. Support the owners’ professional and social media presence and communications. What We’re Looking For 2–5 years of experience supporting senior executives, business owners or an entrepreneurial leadership team. Exceptional organizational and time-management skills, with strong attention to detail. A proactive, resourceful and hands-on approach, with a strong sense of ownership and follow-through. Confident, positive and comfortable taking initiative and working independently. Ability to manage multiple priorities and remain composed as needs and schedules evolve. Strong judgment, discretion and professionalism when handling confidential matters. Excellent written and verbal communication skills. Comfortable using social media in a professional environment. Comfortable leveraging AI tools to improve efficiency, productivity and quality of work. Bilingual in French and English, both written and spoken. What We Offer Full-time or part-time opportunity, depending on the candidate’s experience and availability. Competitive salary: $70,000–$85,000 for a full-time position, based on experience and qualifications. Part-time compensation will be adjusted accordingly.
