Administrative Assistant – People & Office Part-Time OR Full-Time | $45-$48K | On-site at HQ | Calgary, AB :AM CLEANING YYC are redefining what a cleaning company can be in Calgary. Care on both sides of the door. We're looking for someone who wants to help us protect and grow that. We're looking for a reliable person to support our Operations Coordinator and founder keep it all running. You'd keep our office humming, keep our team feeling looked after, and add a little polish to how we show up online. It's part admin, part culture, part light marketing – a mix that suits someone who likes variety and quietly makes things better wherever they land. About the role: Yes, there will be office administration. Emails, support with scheduling, follow-ups, paperwork, all the things that keep a busy company moving. But this role is more about the person than the task list. We want someone who walks in ready to improve things, notices when something isn't working, and doesn't wait to be asked to fix it. Someone who enjoys people, brings energy into a room, champions our culture, and helps make :AM CLEANING YYC a place people are proud to work. And someone who gets that in a growing small business, the answer to "Is this technically my job?" is sometimes "Probably not… but I can take care of it." What you'll actually be doing: Your days won't all look the same. Depending on what's happening in the business, you might be: Keeping the office and our systems organized – scheduling, files, invoicing, follow-ups, everyday admin Being a warm first point of contact for clients/team by phone, email, and text. Get your customer service voice ready! Supporting our cleaning technicians and helping them get what they need to succeed out in the field Organizing team meetings, celebrations, recognition, and company initiatives Championing our culture and bringing positive energy to the team Handling very light marketing internally with simple graphics, keeping our online presence current during special events Keeping records, documentation, and internal systems accurate and up to date Supporting our People & Office Operations Coordinator day to day, and communicating with clients, employees, and vendors Improving a system when you notice it could work better Taking projects from "we should really do something about this…" to done Occasionally handling something that wasn't on anyone's to-do list that morning We don't expect you to know how to do everything on Day 1. We do expect you to be the kind of person who can figure things out. You might be our person if: You're extremely organized, but you can still function when the day goes sideways (it does, as we are in the business of logistics) You have initiative – if something needs doing, your instinct is to handle it, not wait to be assigned it You're a natural problem solver who's usually thought through a couple of options before asking "what should I do?" You trust yourself to make reasonable decisions without constant approval You're warm, upbeat, and good with people, but you can be direct when something needs to get done You notice things, and you follow through – if you say you'll do it, people don't have to wonder if it'll happen You care about the people you work with and look for ways to make their day better You take ownership This probably isn't your role if: You prefer every task clearly assigned before you start You need a detailed job description to decide if something is "your responsibility" You're uncomfortable making decisions without approval You tend to notice problems but assume someone else will handle them You want every day to be predictable. Nothing wrong with any of that. This particular role would just drive you a little crazy. Experience that helps: Required 2+ years in administration, coordination, office management, or a similar role Strong written and verbal English communication, excellent on the phone Experience managing schedules, deadlines, and competing priorities Comfortable with Google Workspace, spreadsheets, email, and everyday workplace tools Experience using Claude and ChatGPT Valid Class 5 driver's licence and a reliable vehicle Preferred Experience with Jobber, Notion, and Canva A bit of marketing or social-media sense when we need to post something fun we did with the team on Instagram Comfort using AI tools in day-to-day work Background in events, recognition, or culture-building Why you'll love it here: We take the work seriously and ourselves a little less so. Total compensation package: Full-time: 5 days a week, 7:30 - 4:00pm, $45,000-48,000/year Part-time: Monday to Wednesday, 7:30 - 4:00pm, $27,000–$28,800/year.
