About the Role As the Executive Assistant to the Chief Investment Officer (CIO) and Chief Financial Officer (CFO), you will play a critical role in providing high-level administrative and operational support to two senior executives. You will serve as a trusted partner, ensuring efficient management of priorities, seamless coordination of activities, and effective communication across internal and external stakeholders. This role requires exceptional organizational skills, sound judgment, discretion, and the ability to thrive in a fast-paced environment while managing multiple priorities. This is a net new role supporting the growth of our executive operations. This role requires an in-office presence in Toronto up to five days per week. Key Responsibilities Strategic Executive Partnership * Serve as a trusted partner to the CIO and CFO, helping to manage priorities, anticipate needs, and optimize executive effectiveness. * Support the execution of strategic objectives by translating priorities into actions, timelines, and follow-through. * Prepare executives for key meetings, committees, board discussions, and business forums, ensuring they are informed and decision-ready. Executive Operations & Execution * Manage complex calendars, meetings, and stakeholder engagements, ensuring time is aligned with business priorities. * Coordinate agendas, materials, executive communications, and correspondence, delivering high-quality outputs with accuracy and professionalism. * Track commitments, action items, and key deliverables to ensure accountability and timely execution. * Continuously improve workflows, processes, and information flow to enhance efficiency and effectiveness. Stakeholder & Relationship Management * Serve as a key point of contact on behalf of the CIO and CFO, building strong relationships with internal and external stakeholders. * Partner across functions to drive alignment, facilitate communication, and support cross-functional initiatives. * Exercise sound judgment and discretion in managing confidential and sensitive matters. Travel, Administration & Special Projects * Coordinate executive travel, expenses, events, and logistics with exceptional attention to detail. * Support departmental administration, including onboarding, team communications, document management, and special projects. * Leverage technology, automation, and AI-enabled tools to improve productivity and the executive experience. Qualifications * 5+ years of experience supporting senior executives in a corporate, financial services, asset management, or professional services environment. * Demonstrated ability to manage complex priorities, multiple stakeholders, and competing demands in a fast-paced environment. * Proven success operating as a trusted executive partner with strong business acumen, judgment, and discretion. * Exceptional organizational, communication, and project management skills, with the ability to balance strategic priorities and operational execution. * Advanced proficiency with Microsoft 365 and collaboration technologies, including the ability to leverage automation and AI tools to enhance effectiveness. * Highly proactive, resourceful, and adaptable, with a solutions-oriented mindset and the ability to drive outcomes independently. * Strong relationship-building and influencing skills across all levels of the organization. * Experience supporting leadership teams, executive committees, board activities, or enterprise initiatives is an asset. * Financial services or asset management industry experience is an asset. Compensation The anticipated compensation range for this role is $85,000 – $115,000 annually, which represents base salary and, where applicable, variable compensation components (e.g., annual bonus, commissions, etc.). Actual compensation will be determined based on many factors such as role location, candidate experience / qualifications, market conditions, and internal equity.
